Overview

The Woodrow Wilson School of Public and International Affairs (WWS) seeks an Associate Director of Finance and Administration for the Graduate Program office  to coordinate a wide range of financial, logistical, and operational services in support of the School’s three graduate degree programs: the flagship two-year Master in Public and International Affairs (MPA), the one-year Master in Public Policy (MPP) for mid- career professionals, and the five-year PhD program. Across these three programs, there are about 200 students in residence each year. The Associate Director will report to both the Associate Dean for Graduate Education and to the Director of Graduate Career Services, and will help to supervise a team of three administrative assistants and a summer intern. The Associate Director will collaborate with other School and University administrators to develop, plan, and implement innovative services, events, and activities for a diverse and exceptional student body as they prepare for careers in public service.

Responsibilities

The Associate Director’s responsibilities include the following:

 

  • Assists the Associate Dean in managing the Graduate Program’s operating budget and directly oversees and approves the budgets for fall policy workshops, course-related expenses, and all graduate summer programs; manages the foreign language summer grant program; monitors the expenditures of graduate student organizations; reviews, approves and reconciles all financial actions related to student support through Princeton’s financial systems.
  • Working in conjunction with the Director of Career Services, creates and implements systems for financial approval of all payments to graduate students for summer internships and academic year part-time internships and stewards the named fellowship awards for summer internships. Maintains intranet and web content related to these policies.
  • Working with WWS finance office and the university’s office of leadership gifts, the Associate Director is responsible for the awarding and stewardship of named fellowships for current students and any other discretionary student financial support.
  • Plans and manages WWS graduate summer programs, which include a three-week Math Camp and a seven-week skill-building summer program for mid-career professionals.
  • Coordinates the logistics for fall policy workshop travel for about 75 graduate students, working closely with the Associate Director of International Travel Safety and Security in the Provost’s office for approvals.
  • Coordinates the production of policy workshop reports and updates website content for graduate policy workshops.
  • Organizes professional development opportunities (e.g., GIS, data visualization and presentation skills, grant/speech writing, project management, Tableau, Excel, Python).
  • Participates in the Graduate School’s professional development working group to coordinate programming for students enrolled in the MPA/MPP programs.
  • Participates in the MPA or MPP Admissions process, as needed.
  • Plays a key role in communications with School, University, and external groups; develops and maintains relationships with faculty, staff, alumni, external consultants, and policy practitioners that lead policy workshops and professional trainings.
  • Participates in professional networks such as APSIA, as appropriate.
  • Provides administrative support and financial analysis to periodic faculty reviews of graduate programs, at the request of the Dean or Associate Dean.
Qualifications

 

Requirements:

  • Master’s degree in public/international affairs, public policy, higher education, or related discipline.
  • Minimum of seven years of professional work experience.
  • Strong commitment to nurturing future public policy leaders and ensuring that the School provides exceptional support and service to a diverse student population.
  • Excellent writing skills, strong oral communication and interpersonal skills, and keen attention to detail.
  • Demonstrated success in project planning and experience with financial management and budgeting.
  • Proven ability to execute multiple initiatives simultaneously, to promote teamwork and collaboration, and to creatively solve complex problems.
  • A sense of humor, strong integrity, and an entrepreneurial spirit; demonstrated capacity to work under pressure.
  • Demonstrated ability to engage in strategic program planning.
  • Proficiency with MS Word, PowerPoint, Outlook and Excel.
  • Familiarity with Concur (or similar financial management system), website management, content management systems, Google Drive, and Google Forms. 

Preferred Qualifications:

 

  • Familiarity with the curriculum of graduate programs in public/international affairs and public policy.
  • Prior experience in higher education/student services, and mentoring young professionals.
