Faculty InitiativesGeneral Description / Primary PurposePerforms complex secretarial and administrative support. Work involves handling and preparing sensitive and/or confidential information. Typically reports to an Associate Dean, Assoc VP, Asst VP or Director.
Essential Duties Job FunctionThis position provides administrative and secretarial support to the Director and Assistant Director of Donor Engagement and Stewardship. This position interacts with all of the departments within the division, all university Vice Presidents, UNF Foundation, UNF BoT members and outside constituencies. Essential duties include, but not limited to:
-Monitors, and tracks E&G, and Foundation budget expenditures for the Donor Engagement and Stewardship unit.
-Arranges material for meetings, conferences and social functions for Donor Engagement and Stewardship unit and UDAE office events. These arrangements include assisting in composing, printing, and sending invitations; determining appropriate location, room space and time; ordering refreshments; notifying police for parking location and reservations; and ensuring the proper signage is displayed.
-Prepares, and maintains travel arrangements, and all paperwork involved for reimbursement for travel expenses for the Director and Assistant Director of Donor Engagement and Stewardship.
-Maintains inventory and handles purchasing of office supplies for the Donor Engagement and Stewardship unit.
-Maintains a procedures manual for this position.
-Serves as support for search and screen committees, for the operations of the UDAE unit.
-Performs other related tasks in the University Development and Alumni Engagement Division when required.
-Assists the Director and Assistant Director with preparation and programming for Foundation Board meetings.
-Assists in gathering information for spreadsheets and preparing material for supervisor’s use in developing slide presentations, reports and speeches to community agencies.
-Attends Donor Engagement activities, serves as facilitator at special events, takes and transcribes minutes when required.
-Assists with application intake, awarding, mailing and related communications for centrally awarded Foundation scholarships.
High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Faculty Position Required QualificationsDepartmental RequirementsPreference shown to applicants who meet the required qualifications and also possess the following:
Proficiency in the Microsoft Office Suite, and the ability to learn other specialized software such as Raiser’s Edge NXT, Financial Edge NXT, Banner, etc. This position requires a pleasant working attitude and willingness to work with development officers, immediate supervisor, coworkers and university clients. Position requires reliable job attendance and punctuality.
This position requiters highly refined organizational and interpersonal skills.
This position requires a background check. In conjunction with the University’s policy, this position may also require a credit check.
