Primary Purpose of the Organizational Unit

Position Summary

The primary function of this position is to serve as primary contact for CVPA event logistics, including the University Concert and Lecture Series season and other College events. This position also assists the Director of Marketing with design of ads, programs, and other printed materials for CVPA events. This position also serves as the receptionist and handles front office management over our work study staff and facilities coordination with the music facilities staff member.

Minimum Qualifications

HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND ONE YEAR OF RELATED OFFICE EXPERIENCE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE.

Additional Required Certifications, Licensures, and CertificatesPreferred Qualifications

Bachelor’s degree in business, arts administration, hospitality, or related field, and two years’ experience in events management, or commensurate combination of experience and training to include graphic design. Proficient with Microsoft Office Suite, Google Apps, and Adobe design programs such as Indesign, Illustrator and Photoshop.

Acts as point person for CVPA event logistics, reviewing contract riders for hospitality needs, holding logistics meetings prior to UCLS events, and ensuring that all requested items and services are provided as agreed. Arranges for, or acts as, artist liaison as needed.

Provide Customer Service as Receptionist

Essential Tasks

Serves Receptionist for the CVPA Dean’s Office. Answers phones and provides information to visitors, oversees general office maintenance (such as office supplies and mail), keeps the office presentable, and trains/supervises Federal Work-Study student employees. Primary liaison with Facilities Operations on campus when any repairs or renovations are needed in the Dean’s office. Schedules bookings and room reservations in the Dean’s Office, manages book locker rentals in the Music Building, and checks out keys for the Music Building to students, faculty, and staff.
