 TheDivision of Gastroenterology hasan opening for a full-time, University Staff (unclassified) Administrative Coordinator (AdministrativeAssistant II) position.

This class describesthe third administrative assistant level. While the type of duties is similarto those performed by the Administrative Assistant I, the complexity of the jobis different. The systems, operations, and processes are still established anddefined but allow more flexibility and latitude in adapting practicalapproaches or routines for various situations. Not all circumstances arecovered by established guidelines or they do not work so positions mustimprovise solutions and alternatives. Illustrations include, but are notlimited to, positions that are authorized to make exceptions to eligibilityrequirements, quotas, and fees or charges; design work methods used by others;perform desk top publishing, including the design, layout, paste up, andediting of program documents; produce technical documents, such as scientificpapers, use several software packages; release official information ordocuments that are legally confidential depending on the reason, requestor, anddocument requested; schedule facilities, such as class or conference rooms, bydetermining the eligibility of the event and group; plan events by writing specificorders and compiling operating expense data, arranging the logistics andequipment, selecting menus and caterers, designing decorations, scheduling thesite, locating selected presenters, setting reservation deadlines, and makingtransportation and lodging arrangements for participants; create and signcorrespondence without prior instructions where the content varies based on thenature of issue being addressed; and, complete the forms to adjust or transferfunds as restrictions change or to cover shortages, and authorize expendituresfor office supplies.

 Nature of WorkThe purpose of thisposition is to provide a full-range of administrative support for the GIDivision with an emphasis on heavy calendar management and scheduling fordivision leadership. This position will handle sensitive and confidentialinformation with a high-level of discretion. Under the guidance of the Division Administrator and the BusinessServices Professional, will execute various administrative processes fromconception to completion, and will seek training and guidance on new policiesand procedures. An individual who exercises personal responsibility andaccountability, a high level of discretion, customer service skills, and acommitment to excellence is highly desirable.

 Examples of Work Performed:Provide consistentand high quality administrative support to faculty within the GI Divisionincluding:

  • Calendar management for division leadership and other division faculty as needed, responding to all requests in a timely manner.
  • Coordinate agendas as needed.
  • Meeting logistics (scheduling, room reservations, remote meeting setup, notification of members, agenda distribution, etc.)
  • Route letters and documents in a timely manner.
  • Maintain clinical schedules using Excel, AMION, and other software as necessary. Distribute and communicate schedules on a regular basis.
  • Coordinate travel logistics, prepare and track expenditures, and prepare expense reimbursements.
  • Perform basic document editing, formatting, and creation.
  • Assist with basic administrative needs across the division including: mail retrieval and distribution; general office cleanup; supply ordering and organization.
  • Maintain shared division documents and electronic files.
  • Serve as an administrative point of contact for staff and faculty in the Division.
  • Performs other administrative and office duties as assigned.

     Salary and Benefits:The hiring salaryfor this position is $34,752 - $45,768 and is negotiable and commensurate with skills andexperience. This position is eligible for overtime compensation.

    QualificationsMinimum Qualifications:  Two years of generalclerical experience. One year of this experience must have included complexcalendar support or scheduling for multiple individuals.

     Substitution: College or university course work appropriate to thework assignment, may substitute on a year for year basis for the experience butnot for the specific experience.

     Preferred Qualifications:
  • Abachelor’s degree in business, business administration, event management,finance, accounting, social sciences, public administration, communications, ora directly related field from an accredited institution.
  • Experiencewith complex scheduling.
  • Experienceworking in a customer service-related role
  • Experiencecoordinating travel, preparing experience reports, or with coordinating meetinglogistics.
  • Competencies (Knowledge, Skills, and Abilities):
  • Ability to communicate effectively, both in writing andorally.
  • Strong interpersonal skills with the ability to establishrapport with persons of diverse backgrounds
  • Ability to establish and maintain effective workingrelationships with employees at all levels throughout the institution.

  • Intermediate skills in Microsoft Office applications: Word,Excel, Outlook. Familiarity with Microsoft Teams.
