General Description / Primary Purpose

The Coordinator Study Abroad, under the direction of an Assistant Director or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs.

Essential Duties

Job Function

Advise students on education abroad options, specifically UNF approved exchange partners, 3rd party providers, or Internships, research, conferences with the goal of developing and expanding opportunities for individual students. This includes all processes related to pre-departure, arrival, and re-entry protocols.

Ensure University requirements/policies relating to Study Abroad courses are followed. Facilitates the collection of Clery data (Clery Bill -H.R.3344, S.1925, and S.1930) reported by students on individual study abroad trips and international conferences/internships. This position collects information crucial to the Annual Security and Fire Safety Report (ASR).

Ensure we mitigate risks and are well prepared to manage situations should they arise (in relation to World News, Alerts and Updates; Emergency Communication; Health and accident Insurance and Mental Health Abroad). This position reviews and updates UNF’s emergency assistance protocols and procedures for Individual students going out on 3rd party, exchange, and other programs, specifically emergency preparedness/response and crisis management. The position serves as an emergency contact for Individual trips while abroad by providing guidance, mitigate risk, and managing crises to keep UNF travelers safe while abroad.

Coordinates with various campus units such as Financial Aid, Controller, Advising Units, Registrars, Conduct and others throughout all stages of study abroad, from the first interest meeting to compiling grade memos after students have returned to campus. Coordinate with Admissions, exchange partners, and 3rd party providers to obtain overseas site/school approvals. Initiates conversations with students about their Academic’s and where study abroad fits into their 4-year college plan. Works with Advisers to determine course equivalencies; transferable institutional credits to UNF, complete concurrent enrollment forms, prepares grade memos, collection of International Transcripts, and then sends all international transcripts/documents to enrollment services processing for academic credit. Works with Conduct to determine if students comply, and/or helping students complete incident reports while abroad (if necessary) and routing those forms and situations to Conduct for review. Facilitates the process of contacting financial aid and determining if students are eligible to receive aid to go abroad. Obtains host enrollment information and Contractual agreements from 3rd party providers to route to Financial Aid.

Recruit students for exchanges and 3rd party providers; Develop and print materials for general and specific activities abroad (such as marketing for exchanges); Manage student information/online applications, including visa’s and emergency contacts; Act as a resource for students in obtaining passports; determining visa needs and assistance with submitting the necessary documentation for study abroad.

Inform individual students of insurance policies and procedures; assists students in filing claims (when emergencies arise) then distribute reimbursements once payments come through our office. Advise on scholarships; Respond to student inquiries; Maintain bulletin boards, web pages, etc.; Maintain/process ISIC cards; Collaborate with Coordinators for International Students on University exchange partners and balance agreements. Write the Annual Report for Study Abroad, the Division, and Open doors, as well as other reports. During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place of residence.

This position works with all Off-Campus Vendors and 3rd party vendors related to study abroad.

Present study abroad info sessions; Safety sessions for faculty/staff/students relating to response time, University Alcohol policy, Student Conduct and knowing where to go in case of a medical emergency; pre-departure workshops, Participate in Open Houses, New Parents Days, transfer orientations, Organize study abroad fair, Faculty workshops etc.

Required Qualifications

A Master’s degree from a regionally accredited college or university in a directly related area of specialization; or a Bachelor’s degree from a regionally accredited college or university and two years of experience directly related to the job functions.

Faculty Position Required QualificationsDepartmental Requirements

Preference shown to applicants who meet the required qualifications and also possess the following:
Master’s degree from a regionally accredited institution in an appropriate area of specialization; Experience in living/working abroad, personal academic study abroad experience(s), or professional work experience in a study abroad office in a U.S. post-secondary academic setting; Strong understanding/experience with international travel, safety issues, financial activities overseas (e.g., foreign exchange); and recruitment. Experience with computers and computer software, including the ability to create and maintain spreadsheets and databases; Ability to work with multiple campus units. Willing to work outside 8-5 time period for required functions (evenings/weekends); Strong organizational, analytical, planning, writing, and speaking skills; Ability to work independently, self-starter, little supervision needed; Helps with other duties as required when office is short-staffed or for special events/projects. Proficiency in a foreign language preferred; Strong editorial skills preferred; Experience using database software applications and creating databases for office purposes preferred.

Campus Security Authority (CSA) This position has been designated as a Campus Security Authority (CSA). This position has been designated as a CSA because it involves significant responsibility for student and campus activities and/or responsibility for campus security. As such, any person in this position must report to the University Police Department a crime or an incident that might be a crime that he/she becomes aware of. This position has a reporting requirement because the University believes that your responsibility for students, campus activities and/or campus security will make you someone members of the University community will see as an authority figure and someone to whom they can seek help. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSAs responsibility is a duty to report. All positions designated as CSAs are required to complete an online or in-person training session.
