General Description / Primary Purpose

The Faculty Association is one of three constituent personnel associations established by the UNF Constitution under the provisions for shared governance. The purpose of the Association is to support the UNF faculty in the development and implementation of recommendations in areas of traditional faculty concern. The officers and standing committee chairpersons of the Association are directly supported by the Faculty Association office. The faculty Association office is managed by the executive secretary, and is responsible for the coordination and processing of all of the activities of the Association, including but not limited to coordinating Faculty Association monthly meetings, facilitating the activities of 12 FA standing committees, managing the system of annual faculty awards, and maintaining a complex website and digital archive.

Essential Duties

Job Function

15% – Office Management and Operation, including FA budget.
5% – Scheduling for all Association meetings and activities.
20% – Academic Program Committee (APC) Work Flow management and processing.
20% – Administers processes for allocations of six categories of annual faculty awards.
5% – Direct support for FA officers-travel support, scheduling, and other administrative requirements. 5% – Facilitation and oversight of multiple special events, such as annual kick-off luncheon for all incoming officers and committee chairs.
10% – Maintenance of FA web site on a timely basis; this includes extensive digital archive accessible through the FA home page.
5% – Hiring, training and supervision of student office assistants. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Marginal Functions

Mandatory training for university administrative procedures.
Mail management, copying and distribution.
Maintain FA conference room.
Attend meetings of the Faculty Association, the Academic Programs Committee, and the Executive Committee.
Respond to telephone calls or other information requests concerning FA responsibilities and activities. Create new CMS web pages, update existing pages; test/repair web pages for WCAG compliance; and upload accessible documents.

Required Qualifications

High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Faculty Position Required QualificationsDepartmental Requirements

Preference shown to applicants who meet the required qualifications and also possess the following:
At least 1-2 years of college preferred. Must be proficient in the use of office computing applications. Must be able to interact positively with the public.

The Faculty Association office deals with a widely diverse clientele from both within the university and the public. A courteous and professional demeanor is essential, as are tact and discretion. The position requires a great amount of detailed knowledge of university academic and administrative procedures, as well as Faculty Association protocols and processes. Since a new president is selected every two years, there is a low level of continuity at the supervisory level. Consequently, the FA secretary essentially keeps the organization functioning as new officers gain experience in their roles and responsibilities. The FA secretary must be able to guide FA officers and committee chairs toward appropriate ways to fulfill their responsibilities, and provide or arrange for whatever technical assistance they require. This means that the secretary must be able to work independently, with little direct supervision of most of the activities of the office.
