Description

Reporting to thedepartment manager, this position coordinates the department's clericaloperations and serves as a liaison to other departments.  Answertelephone and e-mail messages within twenty-four hours to ensure timelyresolution of problems. Participates in the interpretation of Universitypolicies and procedures. As required, perform other office coordination and orclerical support functions following established university policy, procedures,and department guidelines.


Incumbent will beresponsible for scheduling surgical procedures in the operating and NeuroInterventional Suite; Coordinates requests for the surgeon’s implant deviceswith vendors and arranges for neuromonitoring in cooperation with the OR; Trackand monitor authorizations for surgery ensuring denials or peer to peer eventsare done in a timely manner preventing the cancelling or postponing of surgery;Arrange preadmission testing and other examinations. Track no shows andreschedule patients so surgical cases are not postponed whenever possible;Track and gather results ensuring complete charts prior to surgery; Assist thesurgeons and other providers during clinic operations, interacting withpatients and families to schedule surgical dates; Arranges for surgical clearancewith outside consultants; Provide educational information and instructions topatients on testing, surgical procedures and preparations for surgery; Answerstelephone and email messages within 24 hours to ensure timely resolution ofproblem accounts; Follows up with other departments to resolve incomplete orproblem situations; Maintains interpersonal contact and communication withstudents, parents, employees, other University Departments; Ensures that filingis performed timely and accurately; Fills in as receptionist or administrativeassistant as needed, answer questions via telephone and face to face contact; Providesprompt customer service to students, parents, employees, and other UniversityDepartments; Provides accurate information to students, parents, employees, andother University Departments; Participation in the interpretation of policy andprocedures; Performs other duties as assigned.

Education andExperience: At least five years of related experience required. An equivalentcombination of education and experience may be considered.

Required Skills andAbilities:

*Experience withMicrosoft office suite: Access, Word, Excel, PowerPoint and Outlook.

*Excellent communicationskills with the ability to interact with a diverse group of students, staff,and faculty.

*Proficiency inMicrosoft Office including word processing, transcription, editing, mailing ande-mail management.

*Demonstrated ability tomake travel arrangements and prepare travel and expense reports.

*Demonstrated ability tomanage a physician's calendar.

*Ability to workovertime

Preferred:

*Bi-lingual (English,Spanish)

*Previous experience insurgical outpatient practice and surgical scheduling highly desirable.
