Business & Operations Manager, Auxiliary Business Services - Georgetown University Main Campus

The Business & Operations Manager serves as a liaison between Auxiliary Business Services, the Georgetown community, and business partners on and off Georgetown's campuses. He or she assists with operations and contract administration - to include ensuring that the terms and conditions of the contracts are followed and met from both the institution side and the vendor's side. Managing of ABS contracts also requires measuring performance relative to overall program execution, food and beverage quality, customer experience, and facilities maintenance/upkeep. The Business & Operations Manager also serves as the GOCard Office Coordinator, working with the UIS GOCard Team and assisting with the administration of student meal plans; and assisting students and the others in the GU community with financial transactions related to their GOCard accounts.

Reporting to the Associate Director of Business and Operations, the Business & Operations Manager has duties that include but are not limited to:

Daily Operations and Customer Experience
  • Visits and walks through business operations as needed to interact with customers and assess the overall success of the operation.
  • Supports the department as the liaison for certain meetings bringing back information to others in Aux Services and information for the business operation contractors (e.g., Medstar monthly construction meetings, summer planning meetings, NSO coordination meetings, emergency management meetings, sustainability efforts).
  • Manages and coordinates special events with corporate sponsors and the GU community.
  • Actively seeks feedback with individual students, committees, and student organizations, as well as with faculty, staff, and key stakeholders -all toward looking at ways to improve the customer experience, drive satisfaction, and increase revenue.


Contract Administration
  • Continually reviews contracts to ensure the terms and conditions are being met by GU and by the vendors.
  • Provides assistance in planning around important contract dates and deadlines.
  • Supports vendor relationships and serves as the front line liaison between vendors and GU for smooth operations.
  • Assists in the internal contract management system.
  • Annual equipment inventory and asset tracking for all food locations, hotel, print center, etc.
  • Assists in connections between the parties as necessary to support the mission and goals of vendors and GU when policies, programs, and/or people change.


GOCard Office
  • Assists with meal plan management to include adjustments as necessary on students' accounts via Banner and configurations via BlackBoard Transact.
  • Process GOCard deposit requests, as necessary.
  • Collect, schedule and prepare regular deposits received from the GOCard VTS machines.


Marketing, Communications, and Promotions
  • Executes the marketing strategy with each vendor on campus. Makes sure that all of the messaging is cohesive and within the greater ABS guidelines, as well as meeting GU and visual identity standards.
  • Assists with campus events and represents ABS department.
  • Updates the Auxiliary Business Services website and social media platforms.
  • Continually monitors vendor and student social media for potential issues and wins.
  • Coordinates articles and media coverage for trade publications, alumni magazine, DC papers and local publications with vendors and campus communications office.
  • Drives revenue for GU through marketing implementation.
  • Assumes key role in NSO weekend, Move-In Day, Graduation, OA Orientation, homecoming (at times), Weeks of Welcome.
  • Manages free product from contracts distributing to student groups per guidelines.
  • Manages in-kind donations from Coke per guidelines coordinating details and logistics accordingly.


Qualifications
  • Bachelor's degree in business, culinary arts, hospitality management or equivalent experience
  • At least 5 years of retail or customer service experience, management experience preferred
  • 3 years in engagement and outreach at an educational institution preferred
  • Contract management and administration experience preferred
  • Customer service focus with hospitality as a core interest, as well as orientation for detail and solutions
  • Ability to work as part of a team, as well as to prioritize and exercise flexibility during shifting priorities
  • Ability to communicate and interact with constituents from various levels across an organization
  • Ability to make smart decisions quickly, to work under stress in a variety of situations, and to remain calm and professional at all times
  • Proficiency with Microsoft Office, Google Apps and social media platforms
  • Workday, Blackboard and Banner systems experience preferred
  • Availability and willingness to work long and/or weekend hours during peak business period, during evening hours as events may require, and from home during university-designated inclement weather and/or closure
