Position Summary

The Grand Rapids office of the Department of Family Medicine is currently seeking a reliable, responsible Executive Secretary to support our chair and administrators by providing timely, high-quality assistance. The successful candidate will provide a wide range of complex services in order to support the department chair who is engaged in the strategic management of the department; the candidate will interact with administrators, staff, faculty, students, and the public; will be impeccably skilled and organized; should be self-motivated and pro-active, able to work under pressure to meet deadlines, and have exceptional communication skills. This position oversees the day-to-day activities of the department, maintains and organizes the chair’s calendar, sets agendas, schedules meeting, makes travel arrangements, takes minutes, and relieves the chair’s workload by answering questions, furnishing information, composing correspondence, and gathering data and information. Prepares reports and documents using several software applications. Performs all duties necessary to ensure that the chair meets working obligations. As the department point person, answers phone, serves as security administrator, coordinates yearly activities such as faculty annual reviews, works with information technology staff to obtain assistance for department, arranges for speakers, facilities, equipment. This position is located in Grand Rapids, MI.

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive work experience in maintaining account ledgers, word processing, editing, composing correspondence, taking dictation, spreadsheet, database, desktop publishing, and/or presentation software; or an equivalent combination of education and experience.

Desired Qualifications

Previous experience as an executive scretary is strongly preferred. Bachelor’s degree in a business-related field or in a health care related field; strong oral and written communication skills; interest in interacting with large and varied stakeholder groups.
