This is a part-time (0.75 time-base), benefits eligible, permanent (probationary). This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

Under the direction of the Director of the School of Social Work and the JDP Campus Director, the Administrative Support Coordinator (ASC) is responsible for supporting the JDP training program (i.e., the Joint Doctoral Program in Interdisciplinary Research on Substance Use [IRSU]) and activities related to the successful administration of the program. The ASC is also responsible for supporting JDP student-related and JDP faculty-related program and training needs.

In addition, the ASC performs the duties of School of Social Work such as programmatic support, assistance with funding applications, preparation and development of various reports, and evaluation. Other duties as assigned to support the administrative operations in the School of Social Work.

Primary JDP-related responsibilities include managing day-to-day JDP program administrative needs, facilitating intra and extramural communication with program stakeholders, maintaining and revising program documents, and other administrative activities related to the JDP program (e.g. ordering supplies, securing rooms for presentations). The ASC will coordinate the JDP admissions process (e.g., application process, answering student questions, assisting students with SDSU-related enrollment processes and course registration) and oversee acceptance into the program in coordination with the JDP Admissions Committee. The ASC will also serve as an administrative liaison with the students and with the UCSD Campus Coordinator. The ASC will also facilitate JDP program information dissemination and marketing by tracking basic information about potential applicants and their application and acceptance process. The ASC will assist JDP Faculty with other academic and scholarly endeavors including supporting extramural funding procurement, redaction of scholarly reports, presentations and dissemination of program information (e.g., revising and disseminating program and marketing materials). This position requires tracking student progress in the program, providing timely policy information on and facilitating student yearly registration, dissertation formation, and required dissertation completion forms. This position will require maintaining current the JDP IRSU handbook and recommend updates for the program website. Superb communication skills will be needed to communicate with the SDSU Graduate Division and UCSD counterparts.

Starting salary upon appointment not expected to exceed $2,135 per month. CSU Classification Salary Range: $2,135 - $3,861 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Minimum Qualifications

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Preferred Qualifications and Specialized Skills

  • A minimum of two years of experience in an academic environment.
  • Excellent verbal and written communication skills.
  • Ability to translate academic and program information from Spanish to English and English to Spanish.
  • Demonstrated ability to communicate trans-culturally in an academic, professional and community-based capacity.
  • A minimum of five year of experience in an administrative environment.
  • Ability to draft and compose professional correspondence, technical documents and standard reports.
  • Proficient with MS Office, including Excel and database software.
  • Experience tracking and reconciling budgets.
