Requirements

The Program Manager supports the academic, instructional, student life, admissions and administrative aspects of the Catholic Clinical Ethics graduate program within the Pellegrino Center for Clinical Bioethics. S/he is responsible for the coordination of approximately 15+ graduate students (in the first year) that will be enrolled in the program. The incumbent also assists Center faculty and staff as needed with events planning and marketing by providing general research and administrative/executive assistance. Reporting directly to David G. Miller, Director of Graduate Studies of the Catholic Clinical Ethics Program and Director for Academic Programs, Pellegrino Center for Clinical Bioethics, and supervising graduate student workers if we have any working with the program, the Program Manager has additional duties that include but are not limited to:

Academic Affairs
  • Serves as the primary point of contact for approximately 15+ graduate students in the first year, advising all graduate students, faculty, and staff on Graduate School, University, and program-specific academic policies and procedures.
  • Monitors graduate student academic progress and assists graduate students with pre-registration requests.
  • Intakes and reviews student forms such as leave of absence and add/drop slips for completeness and accuracy.
  • Monitors and coordinates the submission of all reported grades for Catholic Clinical Ethics.
  • Organizes department program-specific academic and graduation events and generates academic reports for Program Directors and Department Chair as requested.

Admissions
  • Reviews and keeps track of application credentials for completeness and GPA requirements, verifying receipt of transcripts.
  • Communicates with applicants to verify continued interest in program of interest and follows-up to request missing credentials.
  • Assists Directors in conducting applicant interviews, when necessary, distributing completed applications for admissions review and performing data entry of admission application decisions into Banner.
  • Responds to prospective student inquiries via phone and email, assisting with BGE recruitment initiatives, including traveling to graduate fairs and following up with prospective students via phone and email.
  • Conducts informational interviews with prospective students, schedules prospective student visits, and organizes program specific admissions events.
  • Oversees the marketing of the graduate programs in Catholic healthcare institutions in conjunction with the Office of Biomedical Graduate Education.
  • Generates admission application reports from Cognos to monitor progress of program application decisions and applicant reports for Program Directors and the Department Chair as requested.

Outreach and Alumni Services
  • Manages career services, serving as a liaison with Career Education Services Center to promote and support career options for students.
  • Reviews and advises students on resumes and cover letters and distributes career placement opportunities to students, serving as a liaison with alumni for networking opportunities.
  • Maintains internal alumni database and organizes alumni participation at the Strategic Career Seminar and the annual alumni reunion.

Program, Faculty, and Financial Support
  • Maintains department/program websites, reviews and edits department course schedule each term, and distributes course schedules for Director, Chair, and BGE review.
  • Distributes faculty evaluations and assists faculty with course development and management in Canvas support and with troubleshooting issues during synchronous instruction in Zoom/Adobe Connect.
  • Trains faculty, staff, and graduate students to use Canvas, Zoom/Adobe Connect, assisting the Center's faculty and staff with online presence.
  • Maintains Center's social media accounts and web pages.
  • Assists DGS in reviewing all submitted receipts and financial paperwork for completeness.

Other Duties
  • Serves as primary contact for the Office of Biomedical Graduate Education, Graduate School of Arts and Sciences, Office of the Registrar, and Office of International Programs.
  • Collaborates with other biomedical graduate programs and BGE to create and implement methods of promoting the Catholic Clinical Ethics Program and BGE, student life activities, and opportunities both internal and external.
  • Serves on University committees related to admissions, academic affairs, and student services for graduate students as requested by the Program Directors, Department Chair, Director of Academic Affairs and Administration for BGE, and Sr. Associate Dean for BGE.
  • Provides assistance to Center faculty and staff on Center events, academic programs, and as needed with other projects.

Requirements and Qualifications
  • Bachelor's Degree, preferably in biomedical sciences and/or ethics
  • At least 2 years of experience in an academic and/or administrative role and setting, preferably in biomedical sciences and/or ethics
  • Experience with MS Office Suite (Word, PowerPoint, Excel), Web Page Maintenance, Blackboard/Canvas, and Zoom/Adobe Connect
  • Excellent organizational and interpersonal skills with attention to detail and the ability to maintain confidentiality of data and information
  • Ability to work on a team
  • Experience in the field of biomedical sciences and/or ethics preferred
