The Program Manager will organize and manage program activities and logistics in support of Institute program operations, including but not limited to the Iacocca Global Village and other custom programs as designated.

Accountabilities:
  1. Program operations organization and management for Iacocca Global Village program Supporting Activities
    • Iacocca Global Village program operations preparation and implementation: organize and implement program plan, given direction from Institute Director and Program Director, including scheduling, confirmation and organization of curricular activities and residence life programs; communicate with prospective program participants, project clients, facilitators, and vendors; work in conjunction with the Program Coordinator and temporary operational staff, with oversight of Institute Director; coordinate project client team and project mentor process throughout the planning period and during the program; schedule and manage logistics/space needs/transportation/housing for facilitators, workshops, site visits, trips and other activities; coordinate program schedules and materials and manage implementation across operational staff; train and supervise residence life and admin summer staff; maintain participant/ payroll records and processes; maintain best business practices for participant and staff based on University policies and procedures; administer post-program debriefs, evaluation and documentation as assigned.
    • Manage expenses to program budget: account for all program expenses, run reports, process payments and invoices; adhere and administer accounting practices and policies and practices with the Controller’s, under the guidance of Institute leadership; deliver to program budget, communicating updates/issues/proposed changes to Institute Director in a timely manner for guidance and approval as necessary
    • During the program, oversee temporary residence life and guide/mentor staff; maintain and enforce policies/procedures and safety practices; serve as first-line contact for emergency response and communications, together with Institute Director; plan, organize and supervise group trips to NYC and Washington DC
    • Manage post program processes, procedures, and documentation; develop future-year program operational plans, with guidance from Institute Director and program staff. Identify and evaluate operational and cost implications of potential changes; generate and propose ideas for operational improvements; other responsibilities as assigned
  2. Program operations organization, management, and/or support of other Iacocca Institute core or custom programs, as assigned
    • When assigned, serve as program staff in either primary or secondary operations role for other Iacocca programs
    • Specific duties as assigned, subject to capacity available and priority of needs
    • Assist Program Director with coordination of schedule and day-to-day operational needs; act as organizer or supervisor for site visits and/or trips
    • Assist in dorm to support mentor staff and assist with participant issues; administer post-program debriefs, evaluation and documentation as assigned
  3. Participation in new program or initiative proposals or pilots
    • Participate in Institute team activities in support of new program proposal or pilot efforts
    • Develop and contribute operational plan options and cost estimates
    • Collect and maintain information and contacts relevant to planning events, trips, and other program activities that may be useful in program design and/or proposal efforts
  4. Organization and management of operational teams
    • Together with Institute Director, determine the most effective organization of operational staff and resources across Iacocca Global Village and other university/professional programs, including custom programs and initiatives
    • Support most effective Institute use of EventsAir software and other platforms both within and across programs
    • Identify and evaluate solutions to improve effective operations processes and cost efficiency of operations both within and across programs
    • Collect and analyze operational performance data and metrics
    • Develop and institute standard operating procedures for Iacocca Global Village and other programs
Qualifications:
  1. Bachelor's Degree required; Master's degree preferred
  2. Three to five years related work experience
  3. Program and/or project management experience
  4. Experience working with operational teams
  5. Managing activities to budget
  6. Coordinating with faculty, services and outside vendors
  7. Event or conference planning software and apps
  8. Excellent communication and interpersonal skills
  9. Excellent writing ability, organizational skills and attention to detail
  10. Solid analytical, decision making and problem solving skills
  11. Solid computer skills with experience using word processing and spreadsheet software
  12. Successful completion of standard background checks including but not limited to: social security verification, education verification, county and national criminal background checks, PATCH, FBI fingerprinting, Child Abuse Clearance. Based upon the requirements of the position Lehigh may also request credit history reports, motor vehicle checks and professional license/certification verification
Special Considerations:
  • This position is funded by soft dollars; there is no severance associated with this position
  • This position is responsible for driving university-owned vehicles as a routine function, therefore a valid Driver’s License and a good driving record is required
  • This position works with minors
  • Periods of high volume/workload may be required during the months of June and July for programs
  • Required to be on call during the months of June and July
  • Occasional evening, holiday or weekend hours
