The Department of Pharmacology & Toxicology is among the oldest in North America. We offer training in pharmacology and toxicology to both undergraduate and graduate students who may subsequently go on to do exciting research, regulatory and administrative careers in academic, industrial, and healthcare provision settings.

As the Financial and Administrative Assistant, you will work as part of a dynamic team to support the administrative and financial functions of the department of Pharmacology and Toxicology. Managing your time effectively, you will assist in ensuring the continuity of operations with duties including the reconciliation of month-end reports for research grants, the inputting of biweekly payroll and the processing of a wide variety of financial transactions. In addition to being an organized multi-tasker, you will have an all hands on deck mentality that advances the department’s goals and objectives.



Your responsibilities will include:
  • Preparing and processing journal entries, expense reimbursements, invoices and purchase orders
  • Reconciling funding accounts for grants and reconciling purchase card statements
  • Supporting with the faculty appointments process by liasing with the Appointments Committee, preparing dossier’s and updating Laserfiche and HRIS
  • Processing biweekly casual payroll and generating standard financial reports
  • Supporting with undergraduate administration by disseminating information, assisting with updating and maintaining database records, tracking the status of applications and verifying the accuracy and completeness of documents
  • Writing routine documents and correspondence (i.e. employment letters)
  • Providing general administrative support (i.e. scheduling appointments and committee meetings, booking rooms, arranging catering etc…


CampusEssential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years related experience preferably in a university administrative setting
  • Demonstrated knowledge of University financial policies and procedures
  • Demonstrated experience processing a high volume of financial transactions ( e.g. invoices,expense reimbursements, purchase orders, journal entries)
  • Demonstrated experience processing full cycle payroll
  • Knowledge of the University faculty Appointments and Promotions process
  • Advanced knowledge of Financial Information System (FIS) and Human Resources Information System (HRIS) would be preferred
  • Highly developed computer skills including proficiency with MS Office (Word, Excel, Access)
  • Excellent communication (written and oral) skills
  • Solid organizational, interpersonal and problem solving skills
  • An ability to exercise good judgment, tact and maintain confidentiality
  • High degree of accuracy and attention to detail
  • Demonstrated ability to prioritize and complete many competing demands

Assets (Nonessential):
  • Demonstrated technical skills in Laser fiche, ROSI/ACORN
