The Division of Infectious Diseases at the University of Virginia seeks an Administrative Assistant to provide daily support to our faculty and assist with office management activities. The position includes assisting the Director of the Center for Global Health. The Administrative Assistant will be responsible for arranging business travel, management of multiple faculty calendars and agendas, processing and monitoring expense cards, reviewing and answering correspondence. The qualified candidate must have demonstrated professionalism and attention to detail. Candidate must also be proficient in Microsoft office, Outlook, word, and Excel.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Provide general clerical coordination to support office operations.
  • Maintain multiple faculty calendars and schedules.
  • Order office supplies as needed.
  • Process invoices, payment vouchers, travel and expense card transactions, purchase orders, and faculty and staff reimbursements.
  • Perform data entry and maintain proper documentation in compliance with records management policies.
  • Assist the Senior Fiscal Technician and Grants Administrator with documentation and reconciliation for special projects.
  • Process travel workbooks and reimbursements for all faculty and staff.
  • Provide customer support to all visitors.
  • Perform other duties as assigned.
  • Assist Division Administrator with faculty and staff hiring.

MINIMUM QUALIFICATIONS

  • High school diploma with minimum of one year of experience. An Associate’s degree will be considered in lieu of experience.
  • Proficient in using Microsoft Office Applications, including Outlook, Word and Excel.
  • Ability to conduct activities and make decisions.
  • Knowledge of UVA data base applications such as oracle, UBI, ChromeRiver, Recon@, etc., is a plus.

Hiring range is for this position is $35,000 – $40,000.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require walking some distance to attend meetings, and programs.
