Salary:
Anticipated Hiring Salary: $3,796 per month

Note: This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.

Overview:
The Admissions and Recruitment Office supports the university's enrollment goals by boldly recruiting and admitting diverse students through equitable partnerships, innovative programs, high-quality services, and providing opportunities for lifelong success.

Under the supervision of the Freshman Admissions Lead, the Admissions Advisor participates in the implementation of the university's admissions program. The incumbent is responsible for reviewing and evaluating documents and making final admission decisions for an assigned caseload of files. The incumbent works independently and advises students regarding requirements for undergraduates and recommends paths toward admission. Processing of admissions applications is conducted in accordance with CSU admission policies and Title 5 of the State of California Code of Regulations.

Position Summary:
Major duties of the job include:
  • Work closely with Athletics and the Athletics Certification Coordinator for the admission of undergraduate student athletes
  • Evaluate transcripts to determine pre-admissions eligibility for undergraduate student athlete prospects
  • Review and process undergraduate and undergraduate student athlete applications for admissions
  • Verify transcripts, test scores, and other documents submitted in support of applications using PeopleSoft and other supporting systems
  • Determine file completion; code and key support documents into the PeopleSoft student administration system; run various reports and queries in PeopleSoft and excel to monitor case files and ensure quality control of data needed to process applications in a timely manner
  • Prepare files for review by the Special Admissions for Student-Athletes Committee
  • Implement local campus grading policies on transfer work including policies for grade repeats, course substitutions, double counting of coursework for the major and General Education, and adjustments of excess transfer units.
  • Maintain accuracy of applicant's record in PeopleSoft by updating required data fields. This involves but is not limited to entering institutions, transcripts received, student standing code, and test scores
  • Advise applicants of unmet admission requirements by analyzing student transcripts and other academic records for course completion and document requirements of specific programs
  • Screen applications for residency determinations and respond to inquiries from applicants
  • Frequent oral, written, and electronic communication with students, prospective applicants, faculty, and staff about admissions eligibility
  • Work with other programs such as EOP and CAMP for the admission of their students
  • Responsible for tasks from receipt of application to final eligibility determination and electronic preparation of notices of admission and work in an independent setting under the supervision of the Freshman Admissions Lead)
  • Prepare appeal documents for review by appeal committee
  • Respond to inquiries from campus staff and faculty, parents and community educators
  • Respond to email and phone admissions inquiries
  • Collaborate with other offices and various Admissions departments for the admission of applicants
  • Perform other duties in support of general goals of the Admissions and Recruitment

    Secondary duties of the job:
  • Collaborate with Recruitment Counselors on activities and events related to admissions.

    Knowledge, Skills, and Abilities:
  • Knowledge of the policies and procedures related to admission and transfer credit practices in higher education
  • Thorough knowledge of correct English grammar, spelling and punctuation, and ability to communicate clearly both orally and in writing
  • Excellent interpersonal skills and ability to work as part of a team and contribute to a collegial environment
  • Proficiency with office automation technology and spreadsheet software including Microsoft Word, Excel, and web-based applications
  • Ability to:
    o Advise students about admission requirements or other academic records policies
    o Learn and interpret a wide variety of complex policies and procedures related to first-time freshman and transfer admission practices including policies governing the admission of student athletes
    o Handle inquiries from the public that involve researching status of documents in a complex workflow environment
    o Work in a team environment and collaborate with coworkers to achieve goals of the department
    o Organize and plan routine work assignments and projects including handling multiple priorities.
    o Work with students, faculty, staff and the general public from diverse ethnic, cultural and socioeconomic backgrounds.
    o Understand and abide with the Family Education Rights and Privacy Act (FERPA) and state of California policy regarding the confidentiality of records
  • A history of regular attendance and positive performance evaluations

    Education and Experience:
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job related field.
    o Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year for year basis.
  • One year of experience in professional Student Services work at the entry trainee level. Equivalent amounts of graduate level job related education may be substituted for the required experience.

    Preferred Skills:
  • One year experience managing education documents in an Admissions or academic record office
  • Experience advising students regarding admissions and transfer credit practices and responding to inquiries from campus academic advisors and faculty
  • Knowledge and understanding of the CSU admissions requirements for first-time freshman and transfer students
  • Experience processing transcripts or admission application in a complex workflow environment
  • Experience updating status of transcripts, test scores, and other documents in PeopleSoft or other complex student data system
  • Experience with a complex student data system or degree audit system, preferably PeopleSoft Administration, U.Achieve or comparable application
  • Experience with common admissions and outreach management systems such as CRM (client relations management tools).
