HCM Specialist, Shared Service Center - University Services

Requirements

The HCM Specialist serves as the sole facilitator of payroll and HCM transactions in University Services' Shared Service Center. Such transactions include the creation and editing of positions within GMS, the initiation of new hires, job requisitions, HCM role assignments, costing allocation changes, and compensation adjustments for Service Center staff and students. S/he reviews supporting documentation provided with each request for accuracy and completeness, and communicates directly with departmental administrators to resolve any deficiencies in this regard. In addition to the initiation of these transactions, the incumbent is responsible for ensuring that the relevant personnel approve transactions at each stage in a timely manner. Working closely with the Senior Business Officer, the Senior Finance Officer, and department administrators throughout University Services on all Human Resource and payroll-related requests, the HCM Specialist has additional responsibilities that include but are not limited to:

Payroll and Personnel Requests
  • Serves as the campus resource regarding HR and Payroll policies and processes.
  • Reviews supporting documentation for accuracy and completeness to ensure transaction is in accordance with University Services and University policies.
  • Resolves concerns and/or problems in a timely manner.
  • Keys transactions correctly into GMS from supporting documentation.
  • Works with Senior Finance Officer and Senior Business Officer to ensure position requests align with position rosters and budget.
  • Coordinates all payroll correction forms with payroll to ensure timely processing; meets all payroll deadlines.
  • Drafts new hire, promotion, or other letters to employees, working with HR to ensure these letters are drafted in accordance with GU policy and reflect the most accurate terms of the respective agreement or evaluation.
  • Serves as the I-9 coordinator for University Services, overseeing a campus-wide process to ensure that all new hires in University Services are in compliance with I-9 requirements; Processes all I-9's for departments within the service center.
  • Serves as on-boarding specialist for University Services.

GMS - HCM Resource
  • Provides an up-to-date and thorough understanding of GMS functionality as new releases are implemented.
  • Participates in UAT for any new HCM functionality.
  • Investigates user and system issues, working with GMS core team and colleagues to understand and adapt to new functionality.
  • Serves as a resource to other University Services HRCs.
  • Responds to requests for data and reports as needed and runs routine audit reports.
  • Acts as the Subject Matter Expert (SME) for HCM in University Services, training new employees and monitoring all activities to ensure that University Services is in compliance with HCM policies.
  • Produces HCM reports out of GMS, analyzing and summarizing data.

Operational Support
  • Assists the Shared Service Team with business operations during high-volume periods, providing backup for ProCard management and business managers.
  • Assists with roster management, working with CBO leadership to organize and manage rosters for all departments in University Services.
  • Works on projects as assigned by the Senior Business Officer.

Requirements and Qualifications
  • Bachelor's Degree with 3-5 years of progressive work experience preferred, with a focus on payroll and human-resource related administration
  • Experience in a not-for-profit higher education setting is desirable
  • Must have demonstrable skill in the use of MS Word and Excel; some exposure to Workday (GMS) for Human Capital Management is preferred
  • Excellent verbal and written communication skills
  • Ability to operate under pressure, and to carry him or herself with poise and professionalism while doing so
  • Strong organizational and time-management skills
  • Ability to act with tact, diplomacy, and confidence
