Title: Administrative Assistant

Purpose of this Position:
Reporting to the Associate Dean of Students / Chief Operations Officer, the Administrative Assistant works on a variety of tasks assisting all areas of the ELA campus. Specifically, the position performs a wide range of complex and confidential administrative and clerical support duties. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Requires knowledge of the College and departmental policies and procedures. Includes responsibility for event support and office management as appropriate.

Provides wide range of complex office administration and support as directed for all departments, including Administration, IT, Academics, and Student Life. Serves as one of the principal contacts for the equipment distribution center, source of information for customers of the department, including faculty, students, staff and external customers. Facilitates rentals to students and faculty and administers process of equipment distribution. Organizes and oversees the paperwork and equipment for the equipment distribution center. Interprets and carries out equipment distribution procedures, policies and operations. Creates and maintains organization and filing system(s) for Equipment Distribution Center. Assists in the administration of various on campus events as directed. Creates promotional materials, corresponds with outside parties, and assists with scheduling. Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical applications. Answers and routes phone calls, mail and e-mail messages and may handle wide-range information dissemination. Handles office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies. Screening phone calls and routing callers to the appropriate party. Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research. Assists with event production and event support. Creates informational signage for the ELA campus and updates them when needed. May assist in training, scheduling, and distributing work of students, casuals, or temporary staff. Qualifications:
  • Education:
    • College degree preferred, or an equivalent of education plus experience in an office environment.
  • Skills and Experience:
    • One year related experience with proven office administration and customer service skills required.
    • Solid working knowledge of office processes and standard business policies, and of related computer software and electronic communications tools.
    • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
    • Experience managing to a budget and with multiple deadlines required.
    • Ability to work across teams and with a variety of projects and constituencies.
    • Working knowledge of Microsoft Office Suite (specifically MS Word and Excel).
    • The ability to multi-task and a positive attitude is a must.

Preferred Qualifications:
  • BA/BS.
  • 1+ years of professional experience.
