Program Coordinator, Clinical Programs - Georgetown University Law Center

The Program Coordinator for Clinical Programs is a key member of Georgetown Law's nationally recognized experiential education program. Under the direction of the Director this position assists in the development, implementation, and monitoring of clinical programs and budgets at the Law Center- supporting 17 clinics, 20 professors, 29 fellows, and 8 office managers. The incumbent plays a critical role in leading or helping to lead all of the Program's initiatives, including student recruitment and clinic registration, the hiring of clinical teaching fellows, maintaining the website and developing written materials for internal and external audiences, supporting the Elements of Clinic Pedagogy seminar meetings for new fellows and faculty, processing payments and transactions related to the program, and assisting clinical leadership in developing and monitoring the clinical budget. Additionally this position works to keep all of these offerings running in a smooth, professional and timely manner. Duties include but are not limited to:

Administrative Support
  • Assists the Director in developing and monitoring the Clinical Administration budget and the individual clinic budgets, working with other departments to make any corrections, as needed.
  • Processes payments and reimbursements under the Clinical Administration budget for staff, faculty, and fellows, ensuring that all payments are entered correctly and tracking these transactions through the process to completion and proactively intervening when necessary.
  • Works closely with the Director to schedule monthly {or bi-monthly) Clinical Faculty Meetings by assisting in the development of the agendas for these meetings and handling logistics, including coordinating directly with the faculty to disseminate materials and accommodating scheduling limitations.
  • Runs the day-to-day operations of the office, including tasks such as ordering supplies and helping the Director and Assistant Dean schedule the workflow of the department by maintaining a master calendar and leading weekly team meetings to identify priorities and set short, medium, and long-term goals for the department.
  • Coordinates the collection and review of all necessary documentation for incoming clinical students - such as the student practice applications to the DC Court of Appeals and the documentation required for the university's Protection of Minors Policy.

Clinic Coordination
  • Coordinates with the Dean's office and the relevant Executive Assistants to ensure that the Associate Dean is staffed for all of her clinical and non-clinical work.
  • Serves as the first point of contact for general inquiries from faculty, staff, students, and the public by staffing the Clinical Administration office, email, and main telephone line.
  • Identifies opportunities for synergies across the program and, with the assistance of the Director and Associate Dean, develops standard operating procedures, best-practices guides, and training's that will help Office Managers and other clinic staff more effectively serve their individual clinics or coordinate with other Georgetown Law departments.
  • Assists the Director in maintaining, updating, and improving the clinic website and other promotional materials.
  • Maintains and updates organizational charts and various email and alumni lists.
  • Assists individual clinics in advertising fellowship openings {via PSJD and other similar platforms).
  • Collaborates with other offices reporting to the Associate Dean - including the broader experiential program and the Centers and Institutes.

Programmatic Support
  • Works closely with the Clinical Leadership on all aspects of the student recruitment and registration process for all 17 clinics, including planning the clinic info-session, and scheduling individual open-houses for all 17 of the clinics across two weeks.
  • Assists the Director in on-boarding new clinical teaching fellows - including reviewing and updating the fellow handbook, orienting the fellows to campus, and collaborating with other departments to ensure that the fellows are hired correctly, enrolled in the LLM program, and have the IT and facilities support that they need.
  • Works directly with the Faculty Director(s) of the Elements of Clinical Pedagogy Seminar to ensure the year-long program for fellows and incoming faculty is a success, working with the Director(s) to update the syllabus and readings, arrange all of the seminar logistics, and help to build a cohesive sense of community within the fellowship cohort.
  • Supports the Faculty Director(s) of the Fellows Scholarship and Faculty Recruitment Program, securing membership for all fellows in the Clinical Legal Education Association and the American Association of Law Schools.
  • Plans and executes all internal departmental events and meetings, such as annual lunches for the staff with the Associate Dean.

Requirements and Qualifications
  • Bachelor's Degree and at least three years of experience, preferably in a legal office or in higher education
  • Familiar with Microsoft Office, including word, excel, and power point, and Google Suite
  • Excellent verbal and written communication skills are necessary
  • Ability to quickly adapt to changing circumstances and confidently identify and manage priorities
  • Emotional maturity and the ability to exercise sound judgment in a diplomatic and discreet manner while working in a high profile environment
