Position Description:
The CAO has primary responsibility for management of administrative operations for all activities for the Biology Administration (BioAdmin) Group, which provides administrative services in the areas of HR, Academic Personnel, space/facilities, computing and scheduling to the 4 Departmental Groups that are supported by the shared Biology Administration. These groups are the Physiology Group, MCDB Group, Life Sciences Core Group, and Biology Group. BioAdmin is comprised of four functional areas, (1) Human Resources and Academic Personnel and Payroll, (2) Building & Operations, (3) Computer End Support & Instructional Computing and (4) Scheduling. The CAO is responsible for strategic planning, development, implementation and management of administrative structures and procedures in support of the research and instructional activities of the four academic groups that receive support from BioAdmin. The incumbent works collaboratively and in conjunction with the CAOs of the four academic groups. The BioAdmin CAO serves as backup Department Security Administrator within their unit.

The BioAdmin CAO must have strong interpersonal and communication skills and approach interactions with tact, discretion and collegiality. This is especially important for this position, given the substantive coordination responsibilities that the incumbent holds.

Major duties are to plan, direct, organize, and control the activities of all business, financial and operational functions that BioAdmin is responsible for. Incumbent allocates and manages resources for business, financial, and operational needs; administers services including budgeting, preparation and submission of Annual Reports and C-BIG, manages accounting and fund management for all BioAdmin accounts; reviews and proposes new operating policies and procedures necessary to implement short and long range plans; and works with Chairs/Directors and CAOs that are supported by BioAdmin as needed. Incumbent will advise the Chairs, Vice Chairs and Directors as well as advise the Dean's office as needed on HR, Academic Personnel, Space, Computing and Scheduling areas, evaluate and take actions to improve operations, and recommend and implement solutions to difficult or unusual management or policy problems.

The BioAdmin CAO has 4 direct reports and 26 indirect reports and directly manages a budget of approximately $3.6 million per annum. The BioAdmin CAO carries direct responsibility for the four functions of Staff HR/Academic Personnel, Building & Operations, Computing End Support/Instructional Computing, and Scheduling, for all the programs under the four groups (Physiology Group, MCDB Group, Life Sciences Core Group, Biology Group). For Staff HR/Academic Personnel and computing support, this includes 47 career staff, 69 tenure-track/tenured faculty, ~500 other appointees (researchers, project scientists, postdoctoral fellows. academic administrators, contract employees etc.) on an ongoing basis and also includes ~200 graduate student apprentices per quarter. For Building&Operations, this covers 228,544 square feet that encompass office space, extensive lab space, and the campus Botanical Garden. For Scheduling, the BioAdmin CAO is responsible to oversee the scheduling of approximately 700 lower division and upper division undergraduate courses and discussion sections per annum.
