DESCRIPTION

Reporting to the Assistant Vice Chancellor and CFO/COO, the Director, Board Liaison and Corporate Secretary (Director) is a legal corporate officer of the Board, responsible for designing, implementing, and managing the Foundation’s Board of Trustees strategies and operational structure such that it will effectively support organizational fundraising missions and goals and fiduciary responsibilities. The Director has oversight responsibility to establish relationships with Trustees for engagement, cultivation, and stewardship of the University's more prominent donors in support of Advancement programs, as well as initiatives such as the capital campaign.

The Director will: ensure the Trustees are deeply engaged in the work of the Board, the campaign priorities, and overall fundraising mission of Advancement for UC San Diego; ensure the Foundation Trustee officers and committee leaders are extraordinarily staffed; recommend and implement policies, programs and operational structure; oversee the comprehensive written communications with Board members and committees; oversee the planning, coordination, implementation and staff support for all Board sponsored meetings, activities, and programs.

Manages the budget for the Board operations; and maintain the official corporate records of the Board, including corporate resolutions and other related corporate documents. The Director is responsible to ensure that systems are in place for managing all meetings, materials, and records and that the UC San Diego Foundation remains in compliance with governmental regulations, state and federal law, and UCOP policy and guidelines regarding campus foundations.

The Director must develop strong working relationships and closely collaborate with the Chancellor's office, the Vice Chancellors, campus leadership, Foundation Trustees, team members of LSE, Directors of Development, donors (especially major donors), faculty, and Office of the President, to advance the fundraising and outreach goals of the campus. Must be a team player with personnel and consensus builder with personnel at all levels of the organization. The incumbent must become deeply familiar with and operate in accordance with all UC and UCSD Policies and Procedures, and as well as the Advancement Services, UCSD Foundation, and Development Office goals.

The Director will provide work direction to an Administrative Officer 2 in the Foundation operations office. The Director will use advanced concepts and university objectives to resolve highly complex issues. Plans, develops and implements strategies for specific programs, events, activities, policies, alumni and constituency groups, etc. that are typically complex or large and may include controversial and/or politically sensitive issues or content.

  • Occasional evenings and weekends may be required.
QUALIFICATIONS
  • Bachelor's Degree in English, Communications, Marketing, Journalism or related field, and minimum ten (10) years experience as corporate secretary of a charitable foundation affiliated with a major university; or combination of other relevant experience and education required.

  • Excellent working knowledge of the organizational structure and operations of a not-for-profit organization, including fiduciary responsibility, financial structure, and the role of a Board of Trustees.

  • Advanced knowledge of a charitable fund raising foundation’s mission, goals, and operations. Includes knowledge of appropriate meeting organization, content, protocol, Roberts Rules of Order, and ability to properly brief leadership as to their roles.

  • Proven management experience in a non-profit fundraising Board driven organization; or a combination of experience in a major research university or foundation, writing financially or legally oriented materials, correspondence policies, timing, format, and process.

  • Advanced project management skills, including skills to plan and implement successful events.Advanced knowledge of assigned area of responsibility, for example, the campus scientific community. Advanced knowledge of issues of concern in higher education.

  • Demonstrated ability and experience to work and succeed in a highly decentralized environment in a large, complex, political institution.

  • Advanced knowledge of practices and procedures associated with building and maintaining effective working relationships with all levels of alumni, internal and external constituencies.

  • Proven in-depth knowledge of endowment and expendable funds investment and spending policies, and common planned giving vehicles including charitable trusts and annuities and the vernacular associated with all.

  • Superior ability to perform the highest level of analysis and produce informational and explanatory reports and documents, including financial and investment, fine arts, and sensitive donor relations issues. Make recommendations to Foundation and University executive leadership for future plans and action to ensure that organization goals and missions are met.

  • Advanced written and verbal, communication skills. Sill to produce information that is appropriately presented and effectively received by target constituencies. Superior writing and editing skills, using standard English grammar and word usage. Working knowledge of Chicago Manual of Style rules. Professional writing and editing experience preferred.

  • Proficiency using computer software. Ability to adapt software applications to meet project needs. Specific expertise is required in Microsoft Office, Excel, constituent database applications, Word, and PowerPoint presentation software.

  • Outstanding organizational skills. Ability to set priorities, taking into consideration multiple deadlines, complexity of the tasks, and staff resources. Ability to work independently, exercising initiative to keep supervisors and other university officials informed.

  • Excellent interpersonal skills. Ability to interact with an extraordinarily high net worth and high profile community and/or nationally recognized individuals. Ability to maintain a high level of poise and professionalism in all circumstances. Ability to respect and maintain confidentiality in all aspects of work behavior.

  • Active listening skills, including advanced critical thinking and analytical skills. Skill to recognize potential areas of constituency concern and address, resolve and/or mitigate problems or issues. Ability to maintain confidentiality and to use good judgment, discretion, and sensitivity.
