Position Summary:

The Administrative Specialist II is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and agency/institution policy.

Duties & Responsibilities:

  • Acts as office receptionist by greeting and directing visitors, screening calls, responding to routine questions regarding policy and procedures, providing instructions on the completion of forms, or making referrals to other sources of information
  • Composes, types, and edits various documents including letters, memorandas, reports, forms, narratives, and training materials
  • Serves as an effective administrative support staff member to the Career Services Center in a manner that supports and contributes to all phases of operation, courteously and efficiently receives guests, answers phones, retrieves and receives all mail and parcels (distributing to staff or storing accordingly), processes and correctly posts jobs in HireAstate, maintains fax, printer, copier, employer refreshment center, and assigned work area
  • As assigned by the Director, the Administrative Specialist II supervises, trains, and delegates work to student employees. The Administrative Specialist II solicits employer, faculty, student and alumni participation in all center services, maintains notes/records of constituent assistance through our electronic career management system, and provides support to the professional staff as assigned by Director
  • Assists constituents in a professional, polite and customer service oriented manner, directing them to services offered by the center while maintaining confidentiality of student/alumni information and services delivered. The Administrative Specialist II works cooperatively and assists and supports other center staff and colleagues, maintaining an atmosphere of professionalism and harmony, supporting the mission of the center, division, and campus
  • Serves on a team of staff assisting in the delivery of job fairs and graduate school expos provided by the center, manages the registration process of participating organizations through our electronic career management system, receives, receipts, and prepares receivables for proper processing by our finance division, and preserves productive relationships with participating employers and cultivates relationships with prospective employer clients
  • Receives and processes visitors to the center through current check-in and processing procedures, updating their electronic records as needed. The Administrative Specialist II determines the needs of visitors to the center and then forwards them to appropriate professional staff, encourages and assists candidates and employers to successfully use our current systems, enters, and/or supervises student employees entering all jobs into our electronic system, promptly emails job vacancy and/or event information to respective candidates
  • Maintains records events and activities for the annual report, gathers and processes follow-up data, and surveys participants as assigned by the Director
  • Other duties as assigned

Knowledge/Skills/Abilities:

Proficient with Microsoft Office Suite

Knowledge of record keeping procedures, work-related subject area, and computers and software applications

Ability to conduct research and compile data into report form, establish and maintain filing systems, operate standard office equipment, analyze documents to determine compliance with rules, regulations, and
procedures, and communicate both orally and in writing

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

Other:

Participates in professional development programs and training opportunities, and division and university committees as assigned and approved by the Director

Minimum Qualifications:

The formal education equivalent of a High School Diploma

Two (2) years of experience in a specialized or related area applicable to work performed

Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
