Overview and Responsibilities

Under the general supervision of the Executive Dean of Health, Emergency Services, and River Falls Campus, this position provides administrative support and is responsible for scheduling credit, continuing education, and contracted training courses; monitoring faculty workload; processing documentation for payroll; assisting students and faculty; and related assignments. This position will be based out of CVTC's Health Education Center.

 

Responsibilities:

  • Demonstrate commitment to customer service standards.
  • Perform general program/division support, to include any and all duties, for respective assigned program areas. This may include, but is not limited to, communicating with outside agencies, completing and monitoring contract information, preparing and submitting licensing and other program reports, preparing student certificates of completion, and assisting faculty when appropriate.
  • Assist deans, scheduling office, and program directors/department chairs with the development and modification of course schedules.
  • Assist faculty and deans with the development and modification of teaching schedules.
  • Ensure accurate workload calculations for all full-time and part-time faculty and make appropriate adjustments as assignments change.
  • Initiate and complete payroll documentation for full-time, part-time, and substitute faculty to include, but not limited to, letters of assignment/employment, overloads, and substitute pay in collaboration with Payroll.
  • Identify, enter, and ensure accuracy of all course information in Banner database for credit courses, continuing education courses, contracted training, and technical assistance contracts to include, but not limited to fees, faculty assignments and workload, and demographic information (e.g., rooms and timetable).
  • Anticipate needs and compiles data into reports to assist and support deans in a multitude of areas, especially budgets and other decision-making factors.
  • Process paperwork for new course curriculum and course modifications in collaboration with the Curriculum office.
  • Collaborate with other campuses to ensure that all courses are appropriately staffed.
  • Identify and provide unassigned courses to the Human Resources for posting purposes.
  • Assist deans and Human Resources with hiring adjunct instructors.
  • Assist deans in ensuring compliance with College procedures.
  • Assist with obtaining substitute instructors and track faculty absences.
  • Ensure that all course and instructor data is available in Banner for state reporting purposes in collaboration with the Scheduling office.
  • Serve as primary contact with the Registration staff during official registration times regarding program and course questions to include, but not limited to, course restrictions, approval of additional course section setup, etc.
  • Monitor course enrollments and processes class cancellations for all classes and communicate such cancellations to instructors and students.
  • Provide general information to students on courses, programs, and general College procedures throughout the year and, in particular, during registration.
  • Serve as administrative assistant to assigned deans to provide clerical support, completion of special projects, oversight of budget expenditures, preparation of purchase requisitions and invoices, etc.

  • Advanced knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Microsoft Office Outlook, Word, and Excel.
Qualifications
  • Associate’s degree in Executive Assistant or related field, bachelor’s degree in business or related field preferred.
  • Minimum of two years of experience in a challenging, high-volume, multitasking, professional office environment.
  • Experience with Banner or similar database system.

Chippewa Valley Technical College (CVTC) is part of the Wisconsin Technical College System (WTCS) and serves an eleven-county area in west central Wisconsin. Student enrollment exceeds 8,000 credit students per year, plus over 9,000 non-credit students, with full-time equivalents of over 4,000. The median age of credit students is 24. Approximately 68% of students receive financial aid and 44% are Pell Grant students.

CVTC offers 110 programs, 35 certificates, and customized training to an average of 140 businesses annually. CVTC has an outstanding placement rate, 95% of graduates are employed within six months of graduation, with 87% in a related field.
