Beckman Institute for Advanced Science and Technology

Primary Position Function:

To assist Beckman Institute faculty members in the Center for Label-free Imaging and Multiscale Biophotonics (CLIMB) with all matters related to their research, including management and oversight of research proposal preparation and submission, as well as serving as a liaison with publishers, granting agencies, departmental business offices and Beckman Institute staff.

Duties and Responsibilities:

  • Coordinate the preparation and submission of multi-disciplinary grant proposals to various granting agencies.
  • Plan and organize reports to campus offices and federal agencies.
  • Arrange PI and student travel, including airfare, lodging, etc. and process expense reports following travel.
  • Coordinate visits from granting agencies, research collaborators, and postdoctoral candidates.
  • Monitor the financial activity of assigned accounts and interact with appropriate business offices to ensure accurate financial reporting and to plan and implement student and postdoctoral appointments.
  • Coordinate searches for and visits by postdoctoral candidates and supervise the start of new visiting scientists, postdoctoral and graduate student researchers.
  • Coordinate personnel appointment extensions, salary increases, and labor distribution changes each term for all research staff.
  • Interact with the Office of Technology Management to manage group technology.
  • Hire and supervise student employees as necessary.
  • Manage purchasing on grants, including submission of orders through iBuy or orders placed via p-card/t-card.
  • Oversee the design and maintenance of research group web pages and wiki websites.
  • Assist with the electronic submission of journal manuscripts.
  • Manage safety resources for each research group, including lab standard operating procedures, individual safety training certification and associated documents.
  • Serve as a liaison with publishers, granting agencies, newspapers and other press contacts, departmental business offices and Beckman Institute staff.
  • Serve as contact person between students, staff, outside agencies, and principal to ensure the timely response, referral, or action necessary for a positive end result to any requests, questions, or concerns.
  • Exercise independent judgment and discretion in all areas and work largely unsupervised with only occasional guidance from the professors.
  • Proofread, edit, prepare, and submit scientific journal articles.
  • Proofread student posters and student conference abstracts.

Minimum Qualifications:

  • Bachelor’s degree
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note:Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Knowledge, Skills, and Abilities:

  • Knowledge of University policies and procedures regarding budgets and expenditures, grants and contracts, purchasing, and travel.
  • Demonstrated knowledge and experience in meeting submission deadlines of reports or the like that involve multi-faceted, detail-oriented tasks.
  • Demonstrated ability to exercise discretion and work independently in managing and overseeing projects.
  • Ability to prioritize tasks and work independently in a fast-paced, multi-tasking environment.
  • Ability to develop and maintain effective work relationships with internal and external constituencies.
  • Outstanding organizational skills and exceptional oral and written communication skills.

Salary and Appointment Information:

This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date. Salary is commensurate with experience and qualifications.

Research

Students and scholars find the University an ideal place to conduct research. The Beckman Institute for Advanced Science and Technology is a model for interdisciplinary research, where eighteen research groups from sixteen University departments work within and across three broadly defined themes: biological intelligence, human-computer intelligent interaction, and molecular and electronic nanostructures. The University is also home to the National Center for Supercomputing Applications (NCSA).

Undergraduate Education

The University has a fundamental commitment to undergraduate education. Nearly 28,000 undergraduate students are enrolled in nine undergraduate divisions, which together offer some 4,000 courses in more than 150 fields of study.

Undergraduate admission is highly selective. In the 2001 freshman class, students in the middle 50% had ACT scores between 25 and 30 and ranked between the 83rd and 96th percentiles of their high school graduating classes.

The University enrolls over 9,000 graduate and professional students in more than 100 disciplines. It is among the top five universities in number of earned doctorates awarded annually in the United States.

Also integral to the University's mission is a commitment to public engagement. Each year about 65,000 Illinois residents participate in scores of conferences, institutes, courses, and workshops presented statewide. Research and class projects take students and professors off campus to share expertise and technical support with Illinois farmers, manufacturing firms, and businesses. In a typical year, student volunteers log more than 60,000 volunteer hours.

The Arts

A major center for the arts, the campus attracts dozens of nationally and internationally renowned artists each year to its widely acclaimed Krannert Center for the Performing Arts. The University also supports two major museums: the Krannert Art Museum and Kinkead Pavilion; and the Spurlock Museum, a museum of world history and culture. 

Other major facilities include the multipurpose Assembly Hall (16,500 seats); Memorial Stadium (70,000 seats), site of Big Ten Conference football games; and the Intramural-Physical Education Building, one of the largest recreational facilities of its kind on a university campus.
