Job Description Summary

The Administrative Assistant to the Dean of the College of Health and Pharmacy is responsible for providing the necessary support to manage and maintain the work of the college. This support includes but is not limited to Dean’s office functions, communications, and budgets.

Duties and Responsibilities

•Respond to and initiate inquiries (questions regarding purchasing, personnel, facilities, administration, specialized programs, etc.) Explain policies, answer questions, and resolve problems whenever feasible.
•Prepare presentation materials for use by others, editing content and adding appropriate graphic and design elements.
•Compose and/or prepare correspondence, memoranda, promotional materials, forms, newsletters, manuals, presentations and reports using appropriate word processing, power point, publishing and spreadsheet tools. Ensure proper punctuation, spelling and grammar always occurs
•Be knowledgeable of all College of Health and Pharmacy majors and minors
•Perform basic statistical calculations on data for reports and presentations with accuracy.
•Plan, prioritize and schedule meetings and appointments for Deans and Chairs. Make decisions on a daily basis regarding calendars.
•Assist with program proposals and serve as a resource for information related to the administration of programs.
•Perform specialized administrative duties required to support the specific program areas.
•Support purchasing requirements for College, researching items and obtaining price quotes, entering information into university systems, managing purchase orders and requests for reimbursement.
•Distribute and maintain budget materials for College related to faculty and other non-personnel expenditures
•Arrange and coordinate travel and travel reimbursement for staff and faculty.
•Compile and maintain information that may require web or library researching, gathering, compiling, and updating data and records.
•Organize special events
•Collect, organize and disseminate assessment materials linked to accreditation
•Collect, organize and disseminate syllabi, course textbooks and online course materials to faculty and adjuncts to ensure consistency across offerings
•Gather and distribute mail from mailroom
•Respond to inquiries regarding University policies and procedures
•Operate a variety of office machines and equipment
•Maintain electronic files on faculty and adjuncts
•Enter, track and collate curriculum and course changes
•Assist with and track computer and maintenance requests for faculty and staff in College
•Maintain mailing lists for faculty and staff; distribute university-wide and college wide announcements and information
•Perform other administrative duties as required to support the mission and function of the unit.
•Manage Dean’s schedule
•Inventory, order and maintain office supplies
•Coordinate and schedule travel plans for Dean

Education and Experience

Education:
•Associates Degree preferred. Post-secondary training in office management and related tasks is expected.

Experience:
•3 + years of office experience.

Knowledge, Skills and/or Abilities:
•Strong interpersonal, organizational, communication and customer service skills. Ability to work well with others with minimal supervision.
