Bachelor’s Degree (Foreign equivalent or higher degree). Three years of full-time (or equivalent part-time) experience in a college or university setting at the graduate or professional level in a student services area such as orientation, international student services, student activities, academic advising, or admissions/enrollment management. Experience coordinating, developing, and implementing large-scale programs and/or events.

 

Preferred Qualifications: 

Master's Degree (Foreign equivalent or higher degree) in higher education, student affairs, social work, or counseling. Experience planning and implementing programs and services for undergraduate transfer or international students. At least one year of experience supervising and training students. Experience with technology such as PeopleSoft, Blackboard, online survey software, and website development/maintenance software. Fluency in an Asian language. Budget management experience. 

 

Brief Description of Duties: 

The Assistant Director of Student Orientation & Special Populations will have primary responsibility for the planning and implementation of transfer and international student orientation programming. In addition, the incumbent will serve as the primary contact for new international students entering the University, plan pre-arrival communication, and coordinate arrival and welcome services for the international student population. The position will train and supervise 40-50 undergraduate student International Student Ambassadors, as well as supervise one graduate intern.

 

The Assistant Director of Student Orientation & Special Populations will support all functions of the office including first-year orientation, Opening Weekend, parent and family relations, evaluating program effectiveness, publications, website, office operations, and integrating the Orientation Office into the University community. 

 

The Office of Student Orientation & Family Programs facilitates the transition for new West Campus transfer and freshmen students through programs aimed at acclimating them socially and academically to the institution. Nearly 6,000 new West Campus students start at the University each year and participate in a two-part required orientation (Orientation Part I and Orientation Part II). In addition, the office provides family orientation programs and year round support services to family members of all Stony Brook students.


The successful incumbent will have excellent customer service and interpersonal skills, exercising strong organizational and time-management skills with an exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem solving.

 

    Plan, prepare and execute orientation programming in the summer and winter. With the support of staff members, graduate assistants, and university offices, plan content of the transfer and international student orientation programs, including contact/coordination with other University offices who are participating in the program.


      Produce daily student agendas for the programs. Coordinate with Academic and Transfer Advising Services, College of Engineering and Applied Sciences, and Undergraduate Colleges for advising and registration functions at transfer and international student orientation.

      Collaborate with key university departments to deliver targeted information and resources for international students including Visa and Immigration Services, Student Health Insurance, University Police Department, Academic Integrity office, and external service providers for international students such as banks and cell phone providers.

      During orientation, facilitate student orientation sessions and coordinate the daily set up of orientation materials and spaces. Maintain an inventory of materials needed for orientation, including advising and registration materials, and work with partner offices as needed to provide these materials.

      Provide daily job assignments to student staff for transfer and international orientation sessions.

      Manage reservations and setups with appropriate facility offices.

      Design, distribute, and report evaluations of program effectiveness.

      Collaborate with the Assistant Director of Student Orientation & Student Leadership to facilitate the daily implementation of freshmen student orientation programs.

      Coordinate the alternate orientation process for transfer students unable to attend Orientation Part 1 including communication with advising units.

      Manage a portion of the orientation budget dedicated to international student orientation and programs.

 

    Pre-arrival and transitional programs and services. Collaborate with the Office of Global Affairs to implement in-person pre-orientation programs abroad for international students in select countries.Collaborate with advising areas to plan for the pre and post arrival placement exam and course registration processes for new international students. Serve as the liaison to Visa and Immigration Services and International Student Admissions to plan for the transition of international students into the University. Plan arrival services for new international services including airport transportation, housing check-in, shopping trips, and social activities during arrival weekend. Maintain communication and relationship with SUNY Korea staff and IEC staff to facilitate smooth transitions for students coming from those programs.

 

    Recruit, train, and supervise approximately 40-50 undergraduate student volunteers (International Student Ambassadors) to assist in the execution of international orientation programs and arrival services during summer and winter orientation. Utilize positive supervision strategies including performance feedback, team building, motivation, and appreciation. Conduct post-orientation feedback meetings with all student volunteers. Supervise one summer graduate intern to support all freshmen and transfer student orientation programs. Provide professional and relevant assignments to support GA and intern learning and experience. Collaborate with the Coordinator for Family Programs and Services to conduct a recruitment and selection processes for summer interns.

 

    Serve as a member of the Orientation and Opening Committee and as a member of the planning committees for various events. Collaborate with the Assistant Director of Student Orientation & Special Populations to plan and implement the “This Community” student rights and responsibilities session for Opening Weekend. Assemble a committee of relevant campus offices and staff members to plan and design content to be delivered. Coordinate Opening Weekend communication to students including emails, agendas, website, and mobile schedule app. Collaborate with the Assistant Director of Student Orientation & Special Populations to design and implement an electronic student attendance system for the weekend. Serve as a key orientation team member in the overall implementation of the Opening Weekend program including event coordination and management, staff and volunteer supervision, and troubleshooting. Work with other orientation staff members to design and implement a makeup orientation experience for students who do not attend Opening Weekend.

 

    Maintain external communication for incoming transfer students including email and print communications. Coordinate pre-arrival communication to international students regarding travel, course registration, and orientation. Work with University Communications to update and print the International Student Arrival Guide publication. Provide specialized pre-arrival communication for matriculating former IEC students and SUNY Korea students.

    Support all functions of the office including implementation of more than 30 domestic student and family orientation programs per year serving more than 3,500 first-year students, 2,300 transfer students, and 2,000 family members annually. Support office initiatives for family members including Family & Guest Orientation program, as well as year round programs such as Family Weekend and family member communication and outreach.

    Maintain the transfer and international student portions of the website of the Office of Orientation and Family Programs by keeping content current, including dates, events, and information. Communicate with other University offices regarding content and resources.


    Other duties or projects as assigned as appropriate to rank and department mission. Participate, as needed, in other university events, committees, and professional development opportunities as a representative of the Office of Orientation/Stony Brook University.


Special Notes:

This is a full time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.


The position requires frequently moving orientation supplies weighing up to 50 pounds for special events. This position requires extended hours and limited time off during peak seasons (December/January and June through August.) Night and weekend work is required. Occasional travel to orientation-related conferences will be required.
