Summary of Position
The School of Education (SOE) at Mills College has a long history of commitment to the communitys children. In fact, in 1926, Mills became the first college west of the Mississippi to open a Childrens Laboratory School and continues to offer a wide range of undergraduate and graduate academic programs and certifications in educator preparation, leadership, and related fields. Currently, the School of Education maintains important collaborative arrangements with neighboring school districts, including Oakland Unified School District and hosts a range of grants-funded programming centered on closing the opportunity gap for diverse youth and inquiry-based work with educators to deepen and extend their teaching practice in a range of settings.
The Outreach, Partnerships, and Student Communication Specialist is a key member of the SOE administrative team with the primary role of cultivating and managing internal and external SOE partnerships to support the community engagement, collaborative grants-seeking, matriculation, and retention goals of the school. The Outreach, Partnerships, and Student Communication Specialist has an in-depth knowledge of existing SOE programs and accesses and utilizes networks to gather information about the current educational and training needs of professionals in the field, including blended and online options. They work closely with program faculty and the Dean to consider new directions for program and curriculum development, communicate these offerings to the broader public and target markets, and supports the Colleges initiatives to expand the external facing role of the SOE education. The individual is a critical partner to the SOE Academic Coordinator, the VP of Strategic Partnerships, and works with the Director of Administration and Executive Assistant to the Dean to ensure that programming and engagement with internal and external communities are operationally aligned with the SOE calendar and Deans agenda for the SOE, and Mills College, overall.
In deep collaboration with the offices of Admissions and Enrollment and Marketing, Outreach, Partnerships, and Student Communication Specialist provides critical holistic student communications throughout the processes of inquiry, registration, orientation, matriculation, graduation, and professional placement. The Outreach, Partnerships, and Student Communication Specialist ensures key communications are appropriately directed to students at each stage of the student lifecycle and serves as a link to SOE faculty and/or staff, and Registrars Office and Financial Aid to ensure all prospective and continuing students have all the information they need to succeed. This includes on-going alumnae/i engagement and cultivation and external reporting of the SOE program data to state and federal agencies.
Essential Job Functions:
Partnership and CollaborationWork with program faculty, directors, and chairs, to develop a strategy for engagement, including strategies for engaging existing professional networks (e.g., attendance and dissemination of marketing assets at local conferences and professional meetings, as well as local job and career fairs and meetings of professional educational and practitioner organizations).
Acts as a communications channel with multiple constituencies across the campus and within the community, providing regular (monthly, quarterly) reports to program faculty and academic leadership about the workforce demand and influencing factors and need for existing programmatic development and creation of new programming.
Oversee and/or manage multiple projects; anticipate and track critical dates, events, and organizational issues for the SOE outreach, partnerships, and communications efforts and follow-up with appropriate parties to ensure partnership agreements, MOUs and other commitments for grants and programmatic initiatives are met.
Demonstrate respectful, transparent, and collegial working relationships with within Mills College Admissions Enrollment, and Marketing partners, Office of the Senior Director of Communication, and the office of the VP of Strategic Partnerships through participation in periodic information sharing and planning meetings with internal partners. Some examples include the college Social Media Brain Trust, and other staff meetings recurring check-in during key partner staff meetings.
In collaboration with faculty and Admissions, organize program information sessions for new and prospective students as well as work recruitment events aligned with SOE academic programs.
Nurture and cultivate relations with SOE alumni and retired faculty in collaboration with the Office of Institutional Advancement (OIA). Develop, maintain, and share a comprehensive database of alumnae/i and plan SOE alumnae/i engagement events with the OIA.
Prospective Student Communications
Amplify and articulate Mills College SOE brand distinction in the field of higher education, educator preparation networks, and related programs through Mills SOE online assets (e.g., Facebook, Twitter, Instagram, LinkedIn, etc.). Specifically, work with Senior Director of Communications and serve as a liaison with the Dean and SOE faculty and grants-funded and professional development programs to coordinate and integrate SOE social media online messaging on all SOE media assets, including message and image refresh and update.
Develop expertise to speak fluently about all academic, certificate, and professional development programs of the SOE. Make appropriate referrals when necessary.
Organize and maintain marketing and communications assets for the SOE; manage, organize, and archive digital assets (i.e., video, photos, and audio) of SOE faculty and student work. In coordination with Enrollment and Marketing, manage and store photo release procedures.
Facilitate communication between faculty and prospective students at the point of inquiry through enrollment and graduation. This will include designing, planning and convening programmatic information sessions with department chairs and faculty as well organizing alumnae/i relations and engagement events.
Through collaboration with the Dean and the Mills Offices of Admissions and Enrollment and Marketing, work directly with external contractors for online program development to support seamless onboarding of students enrolled in online programs.
Engage a balanced approach to the use of automated prospective student engagement systems, such as SLATE, with timely response, availability, and boutique-style communications to remove barriers to candidates access to key information and personnel (e.g., Registrar and Financial Aid) to support making Mills SOE their choice.
Monitor and track prospective student flow through the admissions pipeline and proactively dissolve systemic and structural bottlenecks that prevent prospective students from choosing Mills SOE.
Outcomes and Reporting
Provide individual and aggregate monitoring and weekly, monthly, and quarterly reporting of outreach and partnership cultivation activities.
Provide individual and aggregate monitoring and weekly, monthly, and quarterly reporting of prospective students in the pipeline from inquiry to enrollment using quantitative and qualitative data analysis and interpretation to substantiate claims, monitor trends, and inform outreach and recruitment strategy and dissemination of time and financial resources of SOE faculty and staff.
In collaboration with SOE Director of Administration and Executive Assistant to the Dean, provide monthly and quarterly department and program-level financial analysis and reporting of scholarship expenditure and other financial inducements to determine the return on investment (ROI) and support budgetary and program decision-making.
Work collaboratively with the Director of Administration and Executive Assistant to the Dean to manage, collect, and report SOE institutional data and prepare and present operating and audit reports, and assessments for internal stakeholders and external state and federal agencies.
In collaboration with the Dean, Chairs and Program Directors, develop and implement a data-informed outreach strategy for activity and inquiry targets to support enrollment cultivation for the SOE.
Establish an annual work plan with measurable outreach and recruitment goals that are aligned with the College and SOE enrollment goal targets.
Develop, review, and edit presentations, and documentation of data-informed info-graphics for SOE-specific presentation of outreach, engagement, and inquiry generation data for key stakeholders with varying levels of data literacy.
The candidate will be flexible in completing any other additional assigned duties by the Dean.
Education and Experience
Bachelors degree required.
MA preferred with 3-5 years of relevant experience or combination of education and relevant experience.
At least five years experience in higher education outreach, admissions, advisement and/or communications, preferably in education and/or human services fields. Former educators, with direct experience in schools, with families, and in communities are preferred.
Project management expertise.
Demonstrated communications background with particular effectiveness for amplifying and sustaining social media presence and brand integrity and consistency for academic context.
Knowledge and experience with online graduate and professional academic programs preferred.
Proficient in SLATE, Microsoft Office applications, Google Suite, PowerPoint, Word, Excel, Zoom meetings, and meeting schedulers with the ability to leverage new technologies to support connection and articulation of Mills SOE brand, particularly in social media context.
Excellent verbal and written communication skills, including editing and proofreading.
Establish and maintain effective and productive working relationships with students, faculty and staff within a diverse and multicultural environment.
Highly motivated, energized, and engaging individual who is not only capable of inciting excitement in Mills SOE programs but presents with the level of professionalism and aptitude representative of the professionals the program prepares;
Ability to provide collegial, timely, and accurate information and support to prospective students, program faculty and college staff.
Contextual understanding of the field of education and allied fields accompanied by a natural curiosity for new opportunities and program developments the industry will drive.
Demonstrated ability to perform duties with a high level of professionalism, flexibility, discretion, judgment, diplomacy, and tact. Demonstrated ability to handle sensitive issues and trust and respect of all levels of internal and external constituencies.
Demonstrated ability to take initiative and responsibility balanced with a collaborative learner stance with colleagues to effectively respond to challenges to address the outreach, partnership maintenance, and communications needs of the SOE.

Physical, Mental and Environmental Demands:
Work involves considerable sitting time at desk/computer, but also entails moving about the building and campus as well as attending events for networking and outreach in the field;
Work requires the individual obtain/deliver materials and meet with people in scheduled and impromptu meetings;
Work requires professionally interfacing with diverse professional publics to represent the Mills SOE goals, mission, and values and protect the Mills SOE brand reputation to prospective students and our institutional peers and partners;
The work requires the presence and comportment of a seasoned professional, including attention to the style of professional attire;
The work is busy, involving the balance of multiple and competing demands. It should be noted that interruptions and interactions with others are common, especially when school is in session;
The work requires that one be available to meet with prospective students and colleagues, particularly in the summer. It is expected that one has a presence both in the office and the field and provide a transparent accounting of their time and activities to the SOE Director of Administration and Executive Assistant to the Dean for the Dean.
Deadlines and reporting are a routine part of the work and the reporting schedule is strictly adhered to.

Additional duties may be assigned based on business operational needs.
This is a full-time, exempt position with an FTE of 1.0. Salary is commensurate with experience and ranges from $65K - $75K, and includes an excellent benefits package including medical/dental/vision/life/LTD insurance, 403(b) retirement plan with college-matching after 6 month qualifying period, 10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+ plus, 12 sick days and 17 paid holidays (subject to annual review). Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period.
