Position Summary:

The Coordinator of Academic Affairs is a full-time staff member who reports to the Campus Dean. This position provides administrative support to the Campus Dean and the Department Chairs in addition to providing daily management of the Office of Academic Affairs. The Coordinator serves as a liaison between Academic Affairs and other departments such as the academic programs, library, student services, human resources, and finance. The Coordinator works with the Dean on a variety of departmental, campus and national projects and collaborates with the Campus Dean to establish and/or maintain policies, procedures and systems to develop and maintain Academic Affairs at the DC Campus. Leadership, flexibility, creative problem solving, valuing diversity, and strong communication skills are essential requirements for this position.

Duties and Responsibilities:

  • Provide daily management of the Office of Academic Affairs and develop agenda for weekly Academic Department meetings
  • Ensure compliance of academic departments with institutional and campus policies
  • Organize and distribute meeting minutes for Academic Affairs and individual academic programs.
  • Maintain a variety of electronic files and databases for the purpose of providing up-to-date information and historical reference across academic programs
  • Facilitate an on-boarding, orientation, and contracting process which assures that adjunct faculty are adequately trained and prepared for their first semester at The Chicago School.
  • Track and monitor term over term academic program expenses, low enrollments, and overages with the goal of working collaboratively across teams to build efficiencies
  • Compile data (e.g. expenses, enrollments, personnel records, etc.) and metrics for the purpose of processing requests and preparing reports
  • Manage the campus booklist
  • Coordinate campus Master Canvas Shell process to ensure smooth transitions between semesters, particularly for blended programs
  • Assist the Campus Dean in creating and monitoring the Academic Affairs budget.
  • Support communication between Academic Affairs and National, campus and departmental constituencies.
  • Assist with data collection and analysis, report writing and planning for institutional and programmatic accreditation.
  • Support reporting for Program Effectiveness Review for each academic program and the campus meta review.
  • Serve on campus and institutional committees that closely match the role of an academic affairs manager.
  • Other duties as assigned

Position Qualifications:

  • Expertise in the advancement of collegiate teaching and learning, preferably at the graduate level.
  • Familiarity with effective and innovative educational delivery systems, including online education
  • Knowledge of and experience with higher education systems.
  • Experience in adult learning and knowledge of adult development.
  • Prior experience in business administration with a focus on expense tracking and reporting
  • Knowledge of advanced learning and instructional systems design
  • Tech-savvy with proficiency in MS Office (particularly Excel) and a familiarity with databases and learning management systems
  • Experience working with web-based telecommunications programs (Skype, WebEx, etc); expertise in distance-learning software a plus.
  • Excellent verbal/written communication skills, interpersonal skills, and analytical skills
  • Ability to exercise discretion and confidentiality in all matters.
  • Commitment to quality, innovation and process improvement, with an emphasis on collaborative teamwork and high standards of customer service.
  • Ability to work under pressure.
  • Flexibility as a self-starter who takes initiative and accountability for projects; sound judgment, and the ability to make independent decisions with little supervision.
  • Ability to interact effectively with diverse members of the institutional community and outside constituencies, including state officials and alumni.
  • Ability to multitask in a fast-paced environment and to respond with precision and accuracy to deadlines having a short duration.
  • Openness and interest in engaging with new technologies and proficiency with commonly-used software.
  • Willingness to provide after-hour and flexible support.
  • Highly organized and shows exceptional attention to detail
