Participate in directing and coordinating operational activities in support of Music admission and preparatory programs within the School of Music. Participate in extensive recruitment efforts, manage the online audition and application processes and oversee the pre-screening audition process. Participate in quantitative reporting and data driven analysis of enrollment figures and projections. Assist in managing a social media presence and monitor and analyze social media metrics. Provide assistance in coordinating the graduate admissions process, assist with yield programs, and participate in managing the Summer Music Academy, including recruitment, admission, enrollment, and program operations.

Position/Job Responsibilities

1. Work with the Director in managing a student-centered admission process within the School of Music. Implement admission policies, procedures, and practices to attract a diverse and inclusive student body. Maintain awareness of national college and music admission guidelines, ethics, and practices and assist in disseminating information to faculty.

2. Work closely with the Director to prioritize recruitment and enrollment needs. Compile and maintain reports regarding current enrollment figures and projection for enrollment; compile and analyze new and existing data; identify and interpret trends in admissions and enrollment data sets; and make recommendations as needed to assist in admission efforts. Assist in reviewing admissions reports and performance indicators to identify opportunities for student recruitment and strategic priorities for the School of Music. Participate in identifying new process improvement opportunities.

3. Work with the Director to build and execute the School of Music communication plan through strategy development, messaging, and audience identification. Generate, edit, publish and share content and set up and optimize School of Music pages on the College website and within selected platforms to increase the visibility of School of Music content. Work with students and staff to create and moderate content and develop promotional materials. Gather and analyze appropriate marketing and social media metrics to gain insight and best practices for implementation.

4. Participate in managing the Summer Music Academy including recruitment, admission, enrollment, and program operations; travel to and present at targeted school programs and youth ensembles. Review applications and recommend acceptance. Assist with enrollment procedures, including processing online applications, payments, and required forms. Evaluate scholarship and financial aid applications and work with faculty and director to determine scholarship awards.

5. Coordinate and participate in extensive national recruitment programs and represent the School of Music at high schools, college fairs, conferences, and summer camps; develop and maintain relationships with influencers regionally and nationally.

6. Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

7. Manage the online music admissions application system, ensure completion of applicants’ files, upload regional audition video recording, and provide information and support to applicants and faculty. Work with the Director and vendor to maintain the online application, make yearly updates, and troubleshoot as needed.

8. Oversee and coordinate daily tours within the School of Music for prospective music students. Conduct tours and informational sessions.

9. Work with the Music Admission & Social Media Coordinator to schedule auditions. Assist with audition day organization and communication to applicants. Assist with scheduling and hosting of regional auditions, travel to various cities to attend regional auditions, video-record auditions, meet and interview applicants, and manage the upload and faculty review of video-recorded auditions.

10. Manage the pre-screening audition process to include contacting applicants who are required to submit pre-screening auditions to ensure all required application materials have been submitted. Ensure adherence to admission deadlines, communicate with faculty to determine pre-screening audition results, and communicate pre-screening results to the director.

11. Provide assistance in coordinating the graduate admission process.

12. Participate in the development and implementation of music admission yield programs. Assist with responding to financial aid appeals and provide assistance with supervising the Dean’s Host Program. Work with the director in developing yield correspondence and outreach.

13. Coordinate events with the School Operations & External Relations Officer for alumni engagement events at prominent music conferences.

14. Develop and maintain databases and School of Music records used in auditions; maintain file of current copies of College catalogs and various advertising sources. Consult with faculty on admission requirements; understand and communicate program benchmarks and standards.

15. Assist the Director with developing the Summer Music Academy staffing plan, programming, and schedule and participate in the management of SMA concerts and performances. Participate in counselor interviews, oversee work-study student in managing the SMA music library, and supervise counselors, stage crew, and other staff as needed. Manage merchandise purchasing and sales of SMA merchandise.

Position/Job Qualifications

Bachelor’s degree and a minimum of 3 years related experience, or the equivalent combination of education and experience; extensive knowledge of music; excellent organizational and project management skills and attention to detail; strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; excellent organizational skills; solid working knowledge of various word processing, spreadsheet, and database software applications, solid data management skills, knowledge of web structures and platforms with the ability to manage a social media presence, and the ability to handle sensitive and confidential information are required.
