 Nature of Work:

TheResearch Administrative Assistant (Administrative Assistant III) will beassigned to the Department of Pediatrics, Section of Hematology/Oncology/BMTlaboratories. This position will be involved in day-to-day administrative tasksof the patient study including scheduling visits; research study data entry;clerical support; and support the functions of the research project(s).

 

Examples of WorkPerformed:

  • Responsiblefor organizing, scheduling, and tracking patient study visits.
  • Coordinatewith the study research coordinator to assist with data entry for invoicing.
  • Workwith grants coordinator to update financial tracking spreadsheets.
  • Supportfunctions associated with the initiation and maintenance of research projects.
  • Underthe direction of the study coordinator or principle investigator, assist inenrolling patients in clinical research studies.
  • Coordinatemeetings among research consortia, regulatory bodies, and principalinvestigators as needed.
  • Providegeneral clerical support to clinical research coordinators, grant coordinator,principle investigators, the practice and operations manager, and the researchmanager.
  • Organizestudy participant research files and distribute to appropriate location(s).
  • Conductregular audits on subject and regulatory binders.
  • Assistwith general office duties for the research coordinators and the grantscoordinator.
  • Responsiblefor ordering office and laboratory supplies and tracking expenses for budgetarypurposes.
  • Analyzeand monitor department and project budgets as well as identify where costsavings can be implemented.
  • Otherduties and tasks as assigned.

Salaryand Benefits:

 

Salary is negotiable and commensurate with skills and experience. Thisposition is not eligible for overtime compensation.

QualificationsMinimum Qualifications: 
  • High school diploma or GED.
  • Three (3) years of clerical or administrative support experiencein a research setting.
 

Substitution: Appropriate educationwill substitute for the required experience on a year-for-year basis.

 

Conditions ofEmployment:

  • Must be willing and able to successfully pass a 10-panel drugtest.
  • Must be willing and able to successfully pass a national criminalbackground check.
  • Completesand maintains currency in applicable COMIRB Research Certifications and HIPPAtraining courses (must complete within 6 months of hire).
Preferred Qualifications:
  • Experiencein an institution of higher education or large hospital setting with researchcomponents.
  • Experiencein assisting researcher staff with research and clinical study protocols andfinancial analytics.
  • Experiencepreparing clinical regulatory documents.
 

Knowledge, Skills,Abilities:

  • Strongorganization skills and attention to detail.
  • Abilityto manage multiple priorities and deadlines in a fast-paced environment.
  • Demonstratedproficiency in Microsoft Office products including the ability to performmoderately complex formatting of Word documents and basic analytic functions inExcel.
  • Excellentwritten and verbal communication skills, including telephone etiquette.
  • Abilityto establish and maintain effective working relationships with employees at alllevels throughout the institution.
  • Outstandingcustomer service skills.
  • Demonstratedcommitment and ability to advance diversity and inclusion.
