Preferred Qualifications

•At least 4 years of management experience supervising professional staff.
•Preference will be given to candidates with an advanced degree, experience in alumni relations, volunteer management, or a proven track record of development experience in a higher education or non-profit organization.

Position Summary

Reporting to the Executive Director, the Associate Executive Director of Alumni Relations is responsible for strategic goal setting and management of alumni activities and for overseeing the daily operations in the Athens office. This position will foster and strengthen ties with the University’s alumni working to increase alumni engagement. The Associate Executive Director is also responsible for creating systems, processes, initiatives, and approaches that maximize alumni engagement and achieve strategic goals set by the Executive Director.

The position will supervise and manage employees reporting to this position to ensure everyone is meeting all of his/her goals, objectives and project timelines. This also entails developing performance plans for each employee and evaluating his/her performance annually.

Management and Leadership
Oversee the daily operations of Alumni Relations, innovating internal systems and procedures to meet the needs of the organization, ensuring the team is striving to meet the goals set in the strategic plan.
Perform the duties of a supervisor, including but not limited to: communicate effectively when delegating work assignments and establishing priorities with direct reports; ensure staff have the proper training to perform their duties as assigned; monitor work hours and attendance; promote and exercise teamwork and collaboration; work with the Executive Director to set progressive goals for each functional area, respond to employee concerns appropriately, and utilize University policies and procedures.
•Lead and coach team members responsible for the organization, administration, coordination, and development of programs and services for constituents.
•Attend meetings and trainings to successfully represent and train staff on university and division priorities.
•Assist in managing annual budget. Work with the teams to assess priorities and allocate assigned budget among volunteer engagement programs.
•Manage data assessment in relation to the measurement of engagement and organizational goals.
•Ensure event and meeting briefing documents for VIP volunteers and university leadership are effectively provided.
•Ensure the Office of Alumni Relations is operating efficiently, and that the departments within the office are well coordinated.
•Oversee the Wray Nicholson House facility, ensuring the building and functions of the office are operating.

Strategic Support
Actively participate in the effort to increase alumni engagement at the University of Georgia, utilizing the alumni team’s strategic plan. Collaborate with campus leadership and partners to maximize alumni engagement.

Implement the strategic direction for alumni related programs, communications and services as related to the Division of Development and Alumni Relations.
•Serve on committees and team projects as assigned. Attend events/programs regularly. Be a visible part of the UGA community to alumni and constituents.
•Contribute to a positive, innovative and effective work environment as a staff manager. Demonstrate the mission, vision, values and norms of the department to establish a collegial and collaborative team.
•Represent the Alumni Relations team in meetings and presentations, speaking and presenting when assigned.
•Prepare engagement reports and assist the Executive Director in creating an alumni engagement measurement system for the division in collaboration with DAR colleagues.
•Ensure compliance of university policies and procedures.
•Serve as a liaison with university colleagues to coordinate departmental business and facilitate the resolution of problems.

Executive Support
Ensure constituents and volunteers receive prompt communication on behalf of the department.
•Respond to inquiries with little to no supervision.
•Facilitate various internal meetings by scheduling, creating meeting agendas, note taking, providing timely meeting minutes, and appropriately following up on deliverables.
•Draft, edit, and proofread memos, correspondence, meeting materials, and presentations.
•Provide support in leading the Alumni Association Board, assisting with the execution of board meetings and board communications.
•Provide logistical and event planning when necessary.
•All other duties as assigned by the Executive Director of Alumni Relations.
