The District offers a comprehensive package of insurance benefits to eligible

Summary Description:

Class specifications are intended to present a descriptive list of the range of duties performed by employees in the class. Specifications are not intended to reflect all duties performed within the job.

Under direction from higher level supervisory or management staff, performs a variety of complex duties involved in providing information and support relating to various Student Services programs including assistance with admissions, matriculation, financial aid, and supportive services including, but not limited to, EOPS and DSPS.

Distinguishing Characteristics:

This is a journey level class and is expected to be fully aware of the operating procedures and policies of the work unit. Positions in this classification work with a high degree of independence requiring broad knowledge of all student services areas, including supportive services. This class is distinguished from the Student Services Assistant in that positions in the latter class are not expected or required to work with the same level of independence as they have greater immediate access to resources. Positions in the Student Services Specialist class are assigned to work at a location off the main campus and have responsibility for packaging and awarding financial aid in addition to providing broad information and assistance related to all other student services. Greater depth of knowledge is acquired over time, enabling individuals to work with increasing independence and provide enhanced customer service.

Knowledge of:

District policies related to student services.
Federal, state, and local laws, policies, procedures, rules and regulations pertaining to student admissions, matriculation, financial aid and supportive services.
Methods and techniques of advising students regarding student supportive programs.
Institutional and community resources available to assist a diverse student population.
Methods and techniques used in public relations and providing customer service to a diverse population.
Office procedures, methods, and equipment including computers and applicable software applications such as word processing, spreadsheets, and databases.
Principles of business letter writing and basic report preparation.
Principles and procedures of record keeping.
Interpersonal skills using tact, patience, and courtesy.
Effective oral and written communication skills.
English usage, spelling, grammar and punctuation.

Ability to:

Interpret and apply federal, state and local policies, procedures, laws and regulations.

Prepare and award well balanced financial aid packages based upon determined needs.
Maintain current knowledge of assigned area.
Independently compose and prepare correspondence and memoranda.
Compile and analyze data and prepare related reports.
Exercise good judgment and maintain confidentiality regarding critical and sensitive information, records, and reports.
Operate office equipment including computers and supporting word processing, spreadsheet, and database applications.
Adapt to changing technology and learn applicable software applications.
Type or enter data at a speed necessary for successful job performance.
Use correct English grammar, spelling, punctuation, and vocabulary.
Work under steady pressure with frequent interruptions and a high degree of public contact by phone or in person.
Work and apply knowledge independently and effectively with minimal supervision.
Work with and exhibit sensitivity to and understanding of the varied racial, ethnic, cultural, sexual orientation, academic, socio-economic, and disabled populations of community college students.

Education and Experience Guidelines:

Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying.

Education/Training:

Equivalent to two years of college level course work in finance, accounting, business administration, public administration or a related field.

Experience:

Three years of increasingly responsible clerical and routine technical experience in a college student services area, including experience in a financial aid office or similar environment that provides the requisite knowledge.

License or Certificate:

A valid California driver’s license and proof of insurability may be required for some positions to drive a District or personal vehicle to other locations, such as local high schools, to conduct work.

Work Environment:

Work is performed primarily in a standard office setting. Duties are typically performed at a desk or computer terminal; subject to noise from office equipment operation; frequent interruptions and contact in person and on the telephone with students, academic and classified staff and others. At least minimal environmental controls are in place to assure health and comfort.

Physical Demands:

Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
Vision: See in the normal visual range with or without correction. Hearing: Hear in the normal audio range with or without correction.
