The CALS Business Operations (CBO) is an administrative unit within the College of Agriculture and Life Sciences and has oversight of the College’s centralized financial and research administration services including, Business Services, Budgets and Planning, Research Administration, and Operational Support. The CBO’s mission is to provide exceptional customer service while supporting efficient and ethical use of resources. The CBO upholds the academic, research and extension goals and initiatives of the CALS community. The CBO is committed to providing exemplary and responsive customer care, to serving as subject matter expert regarding applicable state, university and federal policies, procedures, rules and regulations, and to achieving and maintaining operational excellence.

Essential Job Duties

The Business Services Program Associate is responsible for providing customer service and support for at least one of the many programs managed within Business Services. The programs include Travel, PCard, accounts receivable, and accounting and purchases processes submitted into Financials (specifically; JVs, IDJs, Requisitions, and Vouchers). The Business Services Program Associate is focused on providing high quality and cost effective services to the CBO and the CALS community for the respective program they are assigned.

This position is responsible for day to day support of the respective business programs processing to which assigned. The Program Associate will ensure that customer service requests and concerns are resolved and/or escalated to the appropriate Accounting Supervisor. The Program Associate will escalate requests to respective program supervisors that require SME knowledge and where no written guidelines, policies, or official opinions exist. The Program Associate will verify the status of transactions, account status, and other data to resolve customer inquiries and will process transactions for their assigned program(s). The Program Associate serves as a functional program expert, providing resolution on inquiries related to accounting of medium complexity. The Program Associate is responsible to provide first level support of concerns of their respective program and shares responsibility with other program associates to monitor and answer the CBO Helpline. The Program Associate may assist with training customers on self-service tools. The Program Associate will audit day to day submission of business requests through real-time audits and will provide feedback on audit findings and call queries and recommend strategies for resolution to the respective program’s Accounting Supervisor.

Other Work/Responsibilities

Other duties as assigned by the Supervisor. The Program Associate may provide transactional and program support for other programs outside of their regular assignment.

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Strong computer skills and technical capabilities, including but not limited to, Microsoft Office and PeopleSoft or similar software.

  • Ability to communicate with several audiences with varied subject matter knowledge.
  • Excellent written communication skills.
