Job Description Summary

In direct support to the Senior Director, Procurement & Payment Services, the Associate Director, Procurement is responsible for developing and implementing best-in-class procurement processes and policies for Wake Forest University. Oversees and assists Procurement staff in developing contracts and agreements that leverage annual procurement requirements and provide optimal value to the University. Utilizes spend and payment data in complicated decision-making scenarios, develops comprehensive reporting capabilities, and recommends data-driven procurement solutions in support of the University community. Engages in collaborative efforts with campus customers and strategic suppliers to implement sourcing initiatives focused on quality, cost, delivery, and reliability. Progressively gains influence over highly decentralized campus procurement spend through trust-filled relationships. Collaborates with team members on Workday eProcurement functionality to improve purchasing processes, to enhance goods and services catalog content, and to increase daily utilization by University customers. Provides leadership and guidance to ensure University procurement practices are fair and aligned with overarching competition, supplier diversity, environmental sustainability, and social responsibility goals. Develops and mentors Procurement staff to provide superior customer support and service and maintains an inclusive workplace culture where all employees feel valued and can contribute their best.

Job Description

Essential Functions:

  • Collaborates with stakeholders to assess needs and organize business requirements into sourcing plans.
  • Develops category strategies, leverages spend, and yields high supplier performance.
  • Benchmarks strategic sourcing and contracting processes with other institutions.
  • Manages and executes supplier quotes, proposals, and bids for all goods and services.
  • Manages pre-solicitation and pre-bid conferences and site visits.
  • Leads and assists with complex bids and contract negotiations.
  • Certifies correctness of solicitations and award documentation.
  • Ensures compliance with federal and state laws and other regulatory guidance.
  • Develops and implements a comprehensive supplier diversity program.
  • Incorporates environmental sustainability goals into category strategies.
  • Promotes social responsibility programs and improves the University’s awareness, engagement, and support of global citizenship and community outreach initiatives.
  • Supervises team members and coordinates team project priorities, performance management, education and development, and goal setting.
  • Educates, mentors, and develops all Procurement & Payment Services team members in the art and science of world-class procurement processes and behavior.
  • Promotes a culture of innovation and value creation.
  • Prepares and administers a department budget.
  • Manages the full personnel life cycle of subordinate employees.
  • Remains focused on long-term strategic objectives despite short-term challenges.
  • Advises University customers on processes and behavior to receive optimal cost, quality, delivery, and reliability performance from suppliers.
  • Evaluates and recommends Group Purchasing Organizations for best-value opportunities.
  • Proactively mitigates risk while remaining unafraid to challenge the status quo.
  • Develops & reviews supplier performance against negotiated service level agreements.
  • Collaborates with customers and suppliers to resolve invoice and payment problems.
  • Assists in financial and compliance audits and contract performance reviews.
  • Orchestrates customer value in significant ways beyond just cost savings.
  • Demonstrates world-class customer service.

Required Education, Certification, Knowledge, Skills, Abilities:

  • Significant indirect procurement experience supporting construction, facilities management, information technology, general services, and professional services.
  • Bachelor's degree plus ten years of related experience, or an equivalent combination of education and experience.
  • Strong “hands-on” procurement abilities.
  • Strong analytical and decision-making abilities.
  • Strong technical and business writing and presentation skills.
  • Proficiency in MS Office (Excel, Word, PowerPoint), email, and internet.

Preferred Education, Certification, Knowledge, Skills, Abilities:

  • Related advanced degree (e.g., MBA) or professional certification from the Institute for Supply Management (e.g., CPSM) or other nationally recognized program.
  • Significant team leadership, managerial, and procure-to-pay team development skills.
  • Significant experience within federal, state, or other highly-regulated procurement environment(s).
