PRIMARY POSITION FUNCTION/SUMMARY:

The Department of Finance at the University of Illinois, Urbana-Champaign has an opening for a Program Coordinator. The purpose of this position is to provide administrative support to the Department of Finance, the Office for Risk Management and Insurance Research (ORMIR) and the Center for Business and Public Policy (CBPP).

DUTIES AND RESPONSIBILITIES:

Communications and Event Planning:

  • Handle all planning and implementation for a wide variety of events, including seminars, conferences, and public lectures (travel arrangements for guest speakers, promotions for public lectures, catering). Identify and reserve meeting space, catering services, technical support, transportation and hotel accommodations for faculty and/or guests.
  • Update department seminar announcements on the appropriate websites. Manage and update website content, updating web calendars, as needed.
  • Work with MarCom to implement any Gies College of Business branding strategies.
  • Make approved purchases with P-card or T-card in compliance with all rules and regulations, policies and procedures set by campus. Prepare reports in TEM for vendor payments and to reimburse employee and/or non-employees for allowable expenses incurred in connection with University business.
  • Provide event budget reports.
  • Perform related duties as requested for the efficient operation of the Department of Finance.

ORMIR:

  • Work with MarCom to develop and maintain internal and external communications for ORMIR.
  • Market ORIMR core values and brand identity to internal constituents including corporate partners, faculty, staff, administration, students and guest lecturers.
  • Work with ORMIR Director, MarCom and Gies Advancement to develop strategies and materials for external outreach.
  • Manage budgeting and tracking of revenues and expenditures, reconcile accounts.
  • Review and respond to emails to the ORMIR mailbox; manage ORMIR listserv.

CBPP:

  • Work with MarCom to develop and maintain internal and external communications for CBPP.
  • Market CBPP core values and brand identity to internal constituents including faculty, staff, administration, students and guest lecturers.
  • Work with CBPP Director, MarCom and Gies Advancement to develop strategies and materials for external outreach.
  • Utilize CBPP marketing portfolio (print, web, blog) to build an infrastructure for disseminating CBPP ideas and information to internal and external audiences.
  • Keep CBPP associates on track for weekly blogging commitments and monitor blog comments for appropriateness.
  • Manage budgeting and tracking of revenues and expenditures, reconcile accounts.

QUALIFICATIONS:

Required:

  • A Bachelor's degree is required.
  • A total of one year in education, training, and/or work experience in the area of specialization inherent to the position. Note: A master's degree in an area consistent with the duties of the position may be substituted for one year of work experience.
  • One year of experience in event planning and financial management at an institution of higher learning or a field related to the position.

Preferred:

  • Proficient in social media tools.
  • Experience planning events at the University of Illinois.
  • Knowledge of or ability to learn University grant requirements, policies and procedures.

Successful Candidates will also have:

  • Proficiency with Microsoft Word, Excel, and Outlook. Proficiency with or ability to learn University applications (Banner, P-Card, TEM, T-Card, Decision Support, Eddie, Webtools, WordPress, Virtual EMS, UPS CampusShip).
  • Ability to perform well under pressure and time constraints.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Excellent organizational skills.
  • Knowledgeable of the University policies and procedures.
  • Ability to multi-task, prioritize, work independently and take initiative.

Environmental Demands:

Work Environment:

  • Work is performed in a high-volume office setting with other employees that requires the ability to function while dealing with interruptions and distractions to meet the many day-to-day deadlines.
  • This position involves independent judgment, initiative, flexibility, and the ability to handle multiple tasks and deadlines.

Physical Requirement:

  • Light activity, such as traveling across campus may be required.

This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after November 1, 2019. Salary is commensurate with experience.

Research

Undergraduate Education

The University has a fundamental commitment to undergraduate education. Nearly 28,000 undergraduate students are enrolled in nine undergraduate divisions, which together offer some 4,000 courses in more than 150 fields of study.

Undergraduate admission is highly selective. In the 2001 freshman class, students in the middle 50% had ACT scores between 25 and 30 and ranked between the 83rd and 96th percentiles of their high school graduating classes.

The Arts

A major center for the arts, the campus attracts dozens of nationally and internationally renowned artists each year to its widely acclaimed Krannert Center for the Performing Arts. The University also supports two major museums: the Krannert Art Museum and Kinkead Pavilion; and the Spurlock Museum, a museum of world history and culture. 

Other major facilities include the multipurpose Assembly Hall (16,500 seats); Memorial Stadium (70,000 seats), site of Big Ten Conference football games; and the Intramural-Physical Education Building, one of the largest recreational facilities of its kind on a university campus.
