The College and Graduate School of Arts and Sciences seeks highly qualified applicants for an Administrative Support Specialist to join the administrative support team in the Office of the Dean.
The Administrative Support Specialist has primary responsibility for coordination and administration of several large, complex, regularly recurring academic processes as well as a number of smaller projects and activities administered through the dean's office. Additionally, the incumbent manages data collection and dissemination of official communications to chairs, directors, and staff in Arts and Science through shareware such Collab and UVa Box, and online content management systems; reviews faculty forms for accuracy and completeness in preparation for signature; coordinates and makes arrangements for dean's office meetings and events as requested; serves as purchaser for catering and travel, as needed; maintains office supply inventory. The incumbent will also serves as a member of the A&S Dean's Office Administrative Team, working collaboratively to support associate deans and senior staff and to ensure the smooth operation of the Dean's Office.
A High School Diploma with at least four years of experience is required. A bachelors degree may substitute for experience. Preference will be given to candidates with a bachelor's degree. The incumbent must have experience working in a senior executive office, demonstrated skill in handling fast paced and often competing pressures on one's time. Command of confidentially and tact are required. Applicants must possess a strong interpersonal skill set as well as written and oral communication skills. Ability to communicate effectively with executive level administrators, foundation board trustees, faculty, and students is required. Incumbent must have the ability to work collaboratively in a team environment is essential. Proficiency is using Microsoft Outlook, Word, Excel and experience using shareware, such as Collab and Box are required. Preference will be given to candidates with experience in purchasing or procurement activities. Experience with Oracle Purchasing and/or experience with online content management systems such as Drupal, is a plus.
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require walking some distance to attend meetings, and programs.
