Administrative Assistant for Masters of Fine Arts Programs, School of Liberal Arts & Education

Title: Administrative Assistant

Status: Non-Exempt, Part Time (20 hours a week, 10 months a year)

Position Summary
This position is responsible for providing administrative support to the following programs: Division of Art, Media, & Communication, Division of Public Affairs, the Master of Arts in Humanities and the Low-Residency MFA in Creative Writing. These programs are housed in the School of Liberal Arts and Education. Core tasks include, but are not limited to, assisting students and faculty members (adjunct and full-time); helping manage departmental invoices, purchases, facilities, and budgets; assisting with the development and coordination of class schedules; providing event planning and promotion assistance (scheduling and coordinating meetings, lectures, receptions, workshops, conferences, and special programs); and helping produce and maintain divisional information and reports.

Responsibilities
  • Manages and coordinates student services and daily operations of the three divisions and two graduate programs.
  • Serves as a personable frontline customer-service contact for all constituencies calling or visiting the divisions.
  • Assists in the development of content and maintenance of web pages associated with the three divisions and associated programs.
  • Assists to coordinate and publicize events including promotions on Facebook and maintaining mailing lists
  • Coordinates orientation and ongoing support of divisions' students; advises students on program policies and procedures
  • Assists Chairs with special projects and performs other duties as assigned

Required Qualifications
  • Associate's degree or equivalent
  • 2 to 3 years administrative support or equivalent combination of education and experience
  • Strong organizational, problem-solving, and analytical skills
  • Ability to manage priorities and workflow
  • Proficiency in Microsoft Office Suite and Google drive including Google Calendar, Sheets, Docs, Slides
  • Ability to communicate clearly and interact genially and effectively with students, faculty, and staff from a broad range of programs and disciplines, as well as members of the public

Preferred Qualifications:
  • Familiarity with graphic design programs such as MS publisher and digital photography
  • A commitment to the arts and education
