Position Summary:

The University of Wisconsin-Madison Division of Extension serves the people and communities of Wisconsin by addressing local, statewide and national issues, improving lives through research-based education, fostering partnerships and action, and facilitating positive impacts. Extension faculty and staff across the state are supported by centralized operational units that are led by an Associate Dean of Operations & Policy. The operational units work in concert with other programmatic units of the organization to provide the organizational infrastructure that supports Extension employees in the field.

The University of Wisconsin-Madison Division of Extension is seeking an Administrative Program Specialist who will report directly to the Associate Dean of Operations & Policy. Primary responsibilities include designing and implementing core operational processes, policies and functions; serving as the primary liaison across Extension operational units to coordinate the development and enhancement of core operational processes; and serving as the project manager for special internal projects that support Extension Operations and Leadership. The Administrative Program Specialist will work closely with the Office of Educational Technology Support, the Extension Office of Human Resources, the Office of Financial Services, DoIT, the Dean's Leadership Team, and other faculty and staff across the organization.

This position will leverage project management expertise in the development, testing and implementation of workflows, communication plans, and training materials, and knowledge of the structure of the Division of Extension to support the implementation of core business processes. They will record, track, and report of the progress of the operational projects, as well as preparing ad-hoc reports and other strategic communications at the request of the Associate Dean of Operations and Policy. The Administrative Program Specialist will create references and trainings on core business processes that will be used by employees and supervisors.

Degree and Area of Specialization:

Bachelor's degree required.

Minimum Years and Type of Relevant Work Experience:

Required:
- Two years of experience in project management - designing, testing, and implementing processes and workflows, data analysis, technical documentation, and/or information technology
- Experience interfacing between the various organizational functions to ensure the successful execution of a project
- Demonstrate strong attention to detail
- Demonstrate independent work initiative and personal accountability, as well as ability to work as part of a team
- Demonstrated ability to establish and maintain effective working relationships
- Excellent written and oral communication skills
- Excellent organizational and time management skills

Preferred:
- Two years of relevant work experience in higher education, preferably with higher education and Extension
- An understanding of the structure and function of the UW-Madison Division of Extension
- Strong analytical skills and ability to synthesize complex information to design work flows and procedures
- Experience with developing and implementing communication plans and organizational change management
- Knowledge of, or ability to learn, policies and guidelines related to Extension
