Position Summary

The Residence Hall Operations & University Services Specialist is responsible for key operational functions within student housing including process management, assignments, billing, data, and reporting. As the primary administrator for the Residential Management System (RMS) – Mercury Software, the incumbent is responsible for setting up software templates, ensuring the integrity of student data, and training users. The Residence Hall Operations & University Services Specialist also manages the day-to-day operations of the Residence Life Office, providing direct service to students and other constituents. The Residence Hall Operations & University Services Specialist position is a full-time, exempt position reporting to the Director of Housing Operations.

Responsibilities:
•Promote on campus housing and work with Director of Housing Operations to maximize bed usage to reach occupancy and revenue projections.
•Manage Residential Management System (RMS) – Mercury Software and database including building and maintaining templates using software logic and other features like filters and parameters.
•Evaluate procedures and software to expedite processes, manage information appropriately, and maximize resources.
•Coordinate housing and meal plan assignment processes including student online self-selection and roommate matching.
•Oversee main office functions and services, including student office assistant supervision.
•Create and distribute occupancy, revenue, and other reports to key stakeholders.
•Ensure terms and conditions of the Housing & Dining Agreement are being consistently and justly applied, and that applicable housing laws are followed.
•Provide direct service to students and other constituents in partnership with Residence Life Staff.
•Complete annual revenue audit for housing and meal plans for University Business Office.
•Serve as primary liaison with partnering departments including Admissions, IT, Dining Services, Student Accounts, and Financial Aid.
•Work with Disability Services staff to assign students with medical accommodations.
•Track and monitor all residential keys.
•Serve as department’s primary administrator for door access/security software.
•Coordinate withdrawal, room change, and break housing processes.
•Assist Facilities Department and IT to coordinate projects and communicate with students about upcoming work in the halls.
•Work with outside partners as needed (US Census, voter registration, rental references).
•Assist with Opening Weekend, check-in procedures, room preview, and other key events.
•Assist with presentations and other interactions with prospective and in-coming students and their families.
•Assume other responsibilities as assigned by Director of Housing Operations.

Required Qualifications

•Bachelor’s degree with post-graduation experience required
•Managing software set-up and database reporting
•Understanding of information systems and how they work together to automate processes and the ability to modify business practices to increase efficiency and productivity are essential.
