The Office Specialist provides advanced and complex administrative and clerical level support to the Office of the College President. The position works as part of the office’s staff support team and provides support to the Chief of Staff and, as assigned by the Executive Vice President/Provost.

    Prepares correspondence and assists in compiling reports for internal and external distributionHandles sensitive and confidential material and monitors and maintains recordsPlans and schedules meeting and conferencesProvides substantial assistance in setting up rooms, equipment, and hospitality for off-campus visitors from other U.S. and international institutions, organizations, and agenciesAnswers telephone, screens calls, relays messages and greets visitorsHandles internal and external inquiriesPrepares Minutes and meeting summaries Maintains the College’s Academic Leadership ChartServes as the Liaison to Accounts Payable, Payroll, Central Accounting, and other District departmentsPrepares Agreement for Services, staffing reports and requisitionsPrepares budget transfers and on-line payrollsHandles inventory and maintains office suppliesProduces electronic information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data, and graphicsPerforms other duties as assigned

  • Associate’s degree from a regionally accredited institution and four (4) years of experience in administrative or clerical work or equivalent combination of education training and experience
  • All degrees must be from a regionally accredited institution
  • Knowledge and understanding of College organization, goals, and objectives and policies and proceduresSkill and proficiency in Microsoft Words, Excel, Outlook, PowerPoint and other related computer programsPossess highly effective organizational and problem solving skillsPossess excellent interpersonal communication skills (both verbal and written)Ability to work with minimal supervisionWorking knowledge or ability to proficiently learn the College’s academic policies and proceduresAbility to work collaboratively and effectively with constituents, departments, chairs, deans, external institutional representatives, and othersAbility to travel to campuses as neededAbility to work in a flexible schedule that may require evenings or weekend
