Overview

In support of Princeton’s development mission, the Assistant Director, Donor Relations plays an integral role in providing stewardship and recognition to the University’s donors and volunteers. Reporting to the Associate Director, Donor Relations, the Assistant Director is principally involved with efforts related to the acknowledgment, recognition, impact reporting, and celebration of donors of restricted gifts. In this capacity, the Assistant Director collaborates closely with faculty, senior staff, and University fundraisers.

In addition to a specific “reporting portfolio,” this individual also works with colleagues in Donor Relations and across Development to continually enhance an institution-wide donor relations programs that not only promotes interaction with and recognition of donors at all levels, but also seeks to provide “the best donor experience of any institution.” As the successful candidate works with multiple people across campus, it is critical the Assistant Director understands fully the mission and organization of the University, and be prepared to articulate, in particular, the impact of giving and the importance of donor communication as it relates to the stewardship of existing funds.

Responsibilities

Impact Reporting

  • Develops annual stewardship strategies for multiple University departments, offices, centers, and units with funds established by individual donors. Oversees fund reporting that effectively communicates to donors the impact of their giving and the ways that faculty, students, and others benefit from their philanthropic support.
  • Serves as the primary liaison to assigned campus units for all matters concerning recognition and reporting related to existing endowed funds and term gifts. Meets and works with department chairs, center directors, and administrators, as well as Finance & Treasury and other offices, to produce annual impact reports that are consistent with University reporting guidelines. This may include creating lists of donors associated with funds; research related to fund use; guidance on overall report content; outreach to beneficiaries of support, including faculty and students; attending unit lectures or events; writing passages of reports; and recommendations for customization and/or additional stewardship for top donors.
  • Based on strong knowledge of assigned departments and units and the specific impact of funds in these areas, collaborates with the assigned Stewardship Manager and/or Prospect Manager to proactively identify innovative and inspiring ways to provide “beyond reporting” updates to top donors, drawing on video, printed, and other materials, working both independently and with colleagues in Advancement Communications. Also actively monitors the University’s website, social media channels, and departmental pages for materials that can be shared with donors.
  • Responds to inquiries from within the University and from Development colleagues about gifts in assigned areas, and researches gifts and donors through University files, archives and other sources, as necessary.
  • Ensures that details of stewardship plans and materials are compiled and communicated to all involved parties and systems.

 

Other Stewardship Materials and Donor Relations Meetings/Events

  • Generates lifetime giving reports for individual donors, researches and provides guidance on unallocated funds, and performs other audit-like research projects.
  • Independently organizes small scale Donor Relations events both on and off campus for a variety of purposes (e.g., scholarship luncheons).
  • In some cases, when a prospect manager is not assigned, may also respond to donor requests and meet with donors, as appropriate, for stewardship-related purposes.

 

Other Duties

  • With the Director, Associate Director, and colleagues in Donor Relations and Development, helps to identify ways to continually enhance the University’s stewardship and overarching engagement programs with an eye towards keeping Princeton at the forefront of trends and industry practices.
  • Participates in goal setting for the Office of Donor Relations, and assists in the development, implementation, and documentation of stewardship procedures and protocols.
  • Executes other tasks related to the stewardship function in Donor Relations.
Qualifications
  • Bachelor’s degree and at least 3-5 years of professional development-related experience or other related work experience.
  • Excellent written and interpersonal communication skills; customer-orientation and the ability to communicate effectively with diverse groups.
  • Ability to initiate and maintain effective collaboration and communication with campus partners, administrators, donors, faculty, and students.
  • The highest standards of professionalism and performance as evidenced by consistency and quality of output, timeliness and follow-through, discretion, and a strong appreciation for special needs associated with sensitive data and commitment to keep confidential all data related to Princeton and its alumni and donors.
  • Evidence of self-motivation and initiative, and the ability to work both independently and in teams, with high personal standards representative of Princeton’s commitment to excellence.
  • Strong project management skills necessary to set and monitor progress against goals, engage stakeholders, develop plans and time-lines, and to measure success toward goals.
  • Willingness to search out answers, and ability to recognize when others need to be involved in activities or decisions.
  • Familiarity with Princeton University and its mission, as well as the ability to fully articulate it to donors and volunteers.
  • Commitment to the Office of Development’s mission of maximizing philanthropic support for Princeton University and to its guiding principles of Civility, Collaboration, Innovation, and High-Performance.
