Underthe supervision of the Academic Operations Manager, the incumbent coordinatesall activities related to departmental residency & fellowship programs andprovides support to departmental faculty education program leadership. Thisperson is the main point-of-contact for all residents and fellows and as suchmust be available and approachable. The Coordinator also serves as the primarycontact for the School of Medicine GME office for the department, and ensurescoordinated, well-integrated programs. In collaboration with the EducationProgram Assistant, the Education Program Coordinator is the leader for planningand execution of department education events, such as residency and fellowshiprecruitment activities, Graduation Day, onboarding of new residents and fellows,off-boarding residents and fellows at the end of their programs, and leadingthe annual planning of the Stanford Bay Area Ophthalmology Course. This rolewill also assist the Chair’s Executive Assistant with the Department HolidayParty and Annual Department BBQ. The ideal candidate is highly organized, ateam player, and is driven by the educational mission. We are looking for anindividual with a passion for event planning, a keen eye for compliance andprocess, and who enjoys contributing as a member of the education team tosupport our residents and fellows.


Duties include:
  • Coordinate, organize, and executedepartment events as related to education: residency & fellowshipinterviews, onboarding, Graduation Day, off-boarding, and the Stanford Bay AreaOphthalmology Course.
  • Compile reports using SF Match,AUPO, and ACGME. Enter rank order list, maintain residency matching, residentwish list.
  • Maintain confidentialresident/fellowship files and monitor records of resident/fellow attendance forall required educational activities, including conferences and other didacticexperiences.
  • Track work hours, resident &fellow activities and schedules in SHC MedHub; maintain, and update residentand fellow rotation, vacation and leave schedules in electronic systems. Workclosely with department HR & Faculty Affairs to verify trainees’ status andactivities as needed.
  • Monitor and document theresidency/clinical fellowship evaluation process in MedHub.
  • Work with the Education ProgramAssistant to communicate regularly with residents/fellows and faculty regardingthe daily activities, such as wet labs, special lectures, and weeklyeducational activities.
  • Provides support to Faculty ProgramDirectors including scheduling of student meetings, preparing meeting agendas,recording and maintaining meeting minutes, and other educational ad hocrequests.

  • Bachelor’s degree
  • 1-2 years in an office environment
  • Event coordination experience

  • EDUCATION& EXPERIENCE (REQUIRED):

    Two-year college degree and one year ofrelevant experience, or combination of education and relevant experience.


    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
    • Ability to work independently andto coordinate multiple assignments with fluctuating priorities.
    • Agile and quick learner who canadapt easily to Stanford specific software and clinically related software.
    • Solid oral and writtencommunication skills. Ability to work with all levels of faculty and staff andhandle diverse workload.
    • Must have excellent customerservice skills and ability to adapt to changing work environment.
    • Proficient with Excel, Word andother applications required.
    • Ability to learn, understand andapply Accreditation Council for Graduate Medical Education (ACGME) or othersubspecialties guidelines

    PHYSICAL REQUIREMENTS*:

    • Constantly perform desk-basedcomputer tasks.
    • Frequently sitting.
    • Occasionally stand/walk, reach/workabove shoulders, grasp lightly/fine manipulation, grasp forcefully, use atelephone, sort/file paperwork or parts, lift/carry/push/pull objects thatweigh up to 10 pounds.
    • Rarely twist/bend/stoop/squat,kneel/crawl.
