Position Summary:
Manages the customer service function for the Annual Giving Office answering questions and offering support over the phone and email. Trouble shoots issues and delivers excellent customer service.

Coordinates operating systems, including class reporting, volunteer mailing list, and specialized reports. Ensures data integrity of volunteer information. Coordinates with Advancement Services to ensure overall data integrity of alumni records.

Offers support to the Student Engagement Center and Senior Class Gift effort.

Supports the Annual Giving team in most efficient and effective use of Advancement operating systems.

Essential Functions:
Earliest anticipated start date is October 13, 2019.

Offer is contingent upon successful completion of a criminal background check.

•Creates complex constituent reports for Annual Giving undergraduate and programs; manipulates data for multiple internal departments for both solicitations and analysis. Maintains and updates complex database records related to volunteer assignments. Creates custom reports for special programs as needed.
Runs and analyzes Annual Giving reports including reunion, class analysis, budget, and other reports as needed by Director of Annual Giving. Serves as primary liaison between Advancement Operations and Annual Giving teams, diagnosing and resolving issues related to gift processing and reporting.

•Maintains accurate and updated volunteer assignments in the Volunteer Module as directed by Annual Giving Officers. Maintains 1,200 alumni volunteer assignment lists and executes fiscal year rollover process. Liaises with ITS and Associate Director of Annual Giving as needed for maintaining volunteer data and reports.

•Offers technical assistance and training support to Annual Giving staff to maintain technology competency related to fundraising and office software. Attends trainings to keep technology knowledge relevant, and develops training materials to document new processes.

•Offers administrative coordination and support to the Student Engagement Center and Senior Class Gift effort.

•Acts as a trusted Advancement partner for events to ensure smooth programming. Staffs major Advancement events including Alumni Leadership Conference, Reunion, and Annual Fund Executive Committee on-campus meetings.

•Initiates payments of vendors and campus partners for services used by Annual Giving.

•Coordinates and executes special projects as assigned.

General Responsibilities:

Qualifcation
Education:

Associate degree required. Higher degree preferred.

Knowledge, Skills and Abilities:
Demonstrated proficiency in MS Office applications, especially Word and Excel

Knowledge of relational database systems.
Experience with project management software preferred

Attentive to detail, excellent organizational skills, and able to manage multiple tasks and projects.

Ability to handle confidential materials with tact and discretion. Strong interpersonal and communication skills required.

Experience:
3-5 years of experience in a fast-paced office environment.

The Bread Loaf School of English is in session each summer not only in Middlebury but also at Lincoln College, Oxford, in the United Kingdom; at St. John's College in Santa Fe, New Mexico; and at the University of North Carolina at Asheville.
