This position provides comprehensive academic advising and retention services to students in the Collegiate Studies Program of the Division of Continuing and International Education (DCIE) and reports directly to the Collegiate Studies Assistant Director. Incumbent develops individualized plans and coordinates advising for Bachelor of General Studies (BGS) and Non-Degree students tracking to BGS.

Essential Job Functions

Advising and Supporting for BGS and Non-Degree students tracking to be BGS students

• Advise, support, and retain students, including:
-Prepare an individualized plan for each student, including registration, drop/add and withdrawal functions
-Initiate regular interaction with students and maintain records of all interactions utilizing appropriate software (SalesForce, Canelink, Blackboard, etc.)
-Provide students with a variety of resources and refer as necessary to Toppel Career Center, the Counseling Center, Academic Resource Center, etc.
-Counsel students on plans for their futures, including preparation for careers, advancement and/or changes, and future education and training
-Coordinate materials and collaborate with BGS students’ Area of Concentration Selection and Submission
-Coordinate and present student appeals by identifying, compiling information and responding to student issues on a case-by-case basis
• Develop and implement retention strategies for BGS students
• Coordinate student events such as current student orientations, graduation events, student support (registration push) onsite and online
• Serve as a liaison for University of Miami Undergraduate students enrolling in online classes; (Manage program permission numbers for online and program classes)
• Adhere to strict student confidentiality in accordance to FERPA

Communication Activities
• Develop correspondence to prospective and admitted students; write and edit letters and supporting documents with information about orientations, meeting schedules, and advising guidelines for new and transfer students
• Design and implement mass enrollment outreach communications
• Collaborate with the Marketing Team by closely coordinating and updating program information and recruitment materials for organized recruitment events; Develop and revise informational material, handbooks, advisement, newsletters, and other recruitment materials for students and BGS program

Academic and Technical Support
• Maintain proficiency in the functions of all Student Enrollment Management Systems
• Input student academic changes such as transfer credit equivalencies; Update and maintain Academic Progress Reports
• Continuously monitor the BGS/Non-Degree student progress in classes after the first semester by providing advising resources and assistance as necessary to ensure retention in the programs
• Provide monthly reports to Assistant Dean, Assistant Director, and the Sr. Enrollment Advisor on student academic progress in individual cases and in the aggregate by class/cohort
• Design and Implement tools, methods, programs and procedures to ensure that our advising services are always rooted in best practices
• Coordinate exit interviews and program surveys

Orientation Workshops, Receptions and Recruitment
• Keep up with the literature on trends, innovations, new advising strategies, needs of adult student learners, best practices in non-traditional student support, student success and retention
• Participate in the coordination of the scholarship outreach, awards, receptions, and reporting
• Participate in Open House events held throughout the year for the purpose of attracting potential students and orienting new students

Qualifications / Experience

Education
Bachelor’s Degree in relevant field required; Master’s degree preferred

Experience
Minimum 5 years of relevant experience

Knowledge, Skills, and Abilities
• Highly skilled in interpersonal communication and customer service best practices
• High quality decision making and judgment
• Skilled in advising and counseling; high degree of emotional intelligence
• Ability to communicate effectively, both orally and in writing
• Knowledge of student recruitment, advising, and retention strategies
• Demonstrated ability to handle confidential information with discretion
• Ability to analyze course prerequisites, certification, and/or curriculum/graduation requirements
• Ability to evaluate student transcripts and/or records
• Strong public presentation skills
• Strong organizational skills – ability to analyze, organize, and prioritize work under pressure while meeting deadlines
• Proficiency in Microsoft Suite of products
• Knowledge of CRM, i.e., SalesForce, LMS, i.e., Blackboard, and SMS, i.e., PeopleSoft preferred
