Job Code: 4121Job Grade: H JOB PURPOSE: The Division of Literatures, Cultures, andLanguages (DLCL) in the School of Humanities and Sciences at StanfordUniversity brings together scholars dedicated to the study and teaching ofliteratures, cultures, and languages, from humanistic and interdisciplinaryperspectives. The DLCL is made up of six academic departments: itself,Comparative Literature, French and Italian, German Studies, Iberian and LatinAmerican Cultures (ILAC), and Slavic Languages and Literatures. We seek to hirean exceptional candidate with the motivation, skills and experience to make apositive impact and to maintain the Division’s high level of excellence.

The OfficeManager will provide detailed, diversified administrative support of aconfidential nature to Division senior management, as well as complexadministrative and operational support with minimal supervision. The OfficeManager has responsibility of the events/facilities administrative staff andoversees the day-to-day building operations, including managing relationshipswith University service partners, custodial services, and other vendors. Theideal candidate will have experience supporting faculty administrators, andin-depth knowledge of academic program requirements. They should demonstrate anability to perform duties with a high level of professionalism, flexibility,discretion, judgment, diplomacy and tact. Anticipate and proactively solveproblems and/or independently handle issues. Implement, interpret, and managepolicies and procedures pertaining to operations, facilities management, andfaculty affairs. As a collaborator with a variety of academic departments andbusiness units, they will have a keen understanding of how the universityfunctions and will be expected to develop and maintain knowledge of theDivision’s partnerships, priorities, and activities. May be responsible foroverseeing other administrative staff or subordinates.

CORE DUTIES*:
  • Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
  • Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
  • Analyze and interpret policies; develop, revise and implement procedures for program or function.
  • Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.
  • Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences.
  • May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.
  • May direct staff to perform various tasks and assignments. Supervise staff.

    MINIMUM REQUIREMENTS:
    Education & Experience:Bachelor’s degree and threeyears of relevant experience, or combination of education and relevantexperience.
