Position Summary

The Assistant Registrar for Strategic Scheduling, as a direct report to the Associate Registrar for Academic Infrastructure, is a member of the Registrar’s leadership team and is expected to be an effective manager and an active participant in improving services throughout the university. The Assistant Registrar for Strategic Scheduling is primarily responsible for the scheduling of courses and classrooms and the DegreeWorks software (including degree audit, student education planner, and transfer equivalency). Additionally, this position requires a solid understanding of how to leverage information and ideas to support student needs and the institution’s strategic goals.

Minimum Qualifications

Master’s degree from an accredited college or university, or a combination of education and experience.
Experience with academic scheduling management for a large university.
Experience using student information systems, preferably Banner 9.
Ability to learn and use specific software packages related to fulfillment of responsibilities, e.g. Ad Astra, Banner, etc.
Strong commitment for innovation as demonstrated by ability to be proactive, dynamic, forward-thinking, strategic and collaborative.
Demonstrated critical thinking, analytical, and problem-solving skills.
Strong verbal and written communication skills. Demonstrated ability to effectively communicate and foster collaboration with a wide variety of university clientele.
Proven ability to effect and manage change.
Excellent attention to details.
Three to five years of experience in a registrar’s, admissions, or academic advising office.

Additional Required Certifications, Licensures, and CertificatesPreferred Qualifications

Previous supervisory experience.
Three years of experience scribing academic programs in Degree Works.

Schedule of Courses and Classrooms & Degree Works Operations

Essential Tasks

Oversees all aspects of the University scheduling of classes, including the inventory of sections in Ellucian Banner and classroom assignments utilizing Ad Astra.
Oversees all aspects of the undergraduate programs in the Degree Works software (degree audit, student education planner, and transfer equivalency).
Oversees and coaches direct reports in the University Registrar’s Office and assists with setting the direction for Strategic Scheduling team.
Manages the creation and maintenance of the master production calendars for each scheduling cycle and any associated documentation for dissemination in collaboration with the Associate Registrar for Academic Infrastructure.
Oversee all aspects of the development, maintenance, and alignment of Banner data to ensure accurate course and program data within the Ad Astra and Degree Works systems.

Analyzes complex data and predictive models to make informed decisions around course demand forecasting and space utilization rates/trends.

Measures key performance indicators to assess and continuously improve strategic scheduling processes.

Essential Tasks

Provides leadership and direction in the Strategic Scheduling team to ensure the timely processing and completion of the Schedule of Classes, room assignments, final exam scheduling, ad-hoc reservations, and program/course coding in Degree Works.
Works proactively with the University Registrar, Associate Registrars, Assistant Registrars, central departments, academic units, and university leadership on changes to business processes and implementing policies.
Represents the Office of the University Registrar in the university community to ensure regular transparent communication regarding policies and procedures.
Monitors performance and individual development of all staff, addresses training needs, and provides career development opportunities such as workshops, seminars, and training programs.

Business Process Management

Essential Tasks

Coordinates and facilitates ongoing training of end users in all Degree Works and Ad Astra applications which includes producing and maintaining training materials and communicating software enhancements, changes, production schedules, and deadlines to department schedulers and editors.
Performs system maintenance, tests software updates, and troubleshoots issues as necessary in Banner 9.0, Degree Works (degree audit, student education planner, and transfer equivalency), Ad Astra, and Argos.
Collaborating with the Associate Registrar for Academic Infrastructure, the Assistant Registrar will assist with developing business continuity documentation and best practices to support students, faculty, and staff in using tools that supports scheduling and Degree Works.
Serving as back-up to the Associate Registrar for Academic Infrastructure, to include but not limited to attending meetings as needed.
