Input necessary information into EMS software and ensure event types and setups are compatible with space requested. Facilitate effective communication between all involved parties, including facility managers and other campus partners. Attend and support special events taking place outside of normal working hours and on weekends as needed.
Directly supervise part-time student public functions assistant(s) and coordinate revenue generating programs including Market Wednesday, Vendor Thursday, and corporate tours/activations. Work closely with campus partners including, but not limited to, the Office of Business Services and Athletics/Trademarks and Licensing to ensure vendors are eligible to participate without violating existing contracts and agreements. Assist with monitoring event market conditions/pricing and recommend rate increases as appropriate. Actively promote public functions opportunities to aid in meeting and exceeding departmental revenue goals.
Maintain a current knowledge of, and clearly communicate University rules, policies, and procedures to non-university clients as applicable to their needs. Ensure all required paperwork, including, but not limited to, Facilities Use Agreements and Certificates of Insurance, are issued, received, and processed in a timely manner. Keep accurate records and effectively utilize EMS to track invoices and payments. Follow established and approved University cash handling procedures and assist in the management of Accounts Receivable for public functions.
Manage lost and found operations for Florida State University as per FSU Regulation 2.026 "Lost, Abandoned, or Seized Personal Property," as administered by Campus Event Services at the Oglesby Union. Indirectly supervise part-time student information assistants who receive, store, and dispose of lost and found items according to regulation and associated policies and best practices. Create and administer training to information assistants on proper handling procedures as well as the use of ReclaimHub, a lost and found cataloging software. Actively work to reunite owners with lost items.
Coordinate efforts with Campus Event Services leadership and fellow coordinators to ensure streamlined services and positive guest experiences. Attend meetings and serve on campus committees as assigned. Assist with the development of departmental goals and strategic initiatives to enhance customer experiences.
Mentor and advise the development of students with whom this position interacts to assist them in articulating hard and soft skills acquired as a result of their engagement experiences. Perform other duties as assigned.Qualifications
Bachelor's degree and two years of experience related to the duties of this position; or a high school diploma or equivalency and six years of experience related to the duties of this position.
(Note: a post high school education and experience equal to six years.)
Ability to develop and implement policies, procedures, goals, and objectives.
Ability to communicate effectively (verbally and in writing) and utilize problem solving skills.
Ability to provide leadership to student groups and provide direction in programmatic, budgetary, and operational functions.
Proficiency in Microsoft Office Word, Excel, PowerPoint and Outlook
