Job Summary:
The Assistant Director of Enrollment Data Systems (AD) uses data and system analysis to identify opportunities to improve business processes. The AD is a “subject matter expert” in Strategic Enrollment Management (SEM) data and business processes that support the USF Student Lifecycle. The AD collaborates with the different functional areas of SEM and with CIPE to ensure proper data flow and data integrity as well as providing data reports to SEM. The AD also works closely with ITS on technical solution evaluations and system implementations. The AD reports to the Senior Associate Director of Enrollment Data Systems, ERP.

Job Responsibilities
  • Provide functional and reporting support for all SEM departments, including but not limited to the Office of the University Registrar and the Student Financial Services Office.
  • Work with SEM and applicable USF colleagues to provide reports of student data for various mailing campaigns.
  • Configure SEM systems in collaboration with SEM business units.
  • Uses SQL, Tableau, and other data extraction tools to support ad hoc data requests.
  • Loading of various prospective and current student data into the CRM and SIS systems.
  • Use data and system analysis to identify opportunities to improve and automate business processes and collaborate with appropriate stakeholders in developing recommendations.
  • Design assessment strategies to determine if business processes and technical solutions have achieved desired objectives.
  • Leverage knowledge of business process analysis methodology, processes, tools, and administration with strong emphasis on business improvement, standardization, documentation, and training.
  • Draw on professional experience to help lead and mentor various teams including training end users regarding any new functionalities and features included in upgrades, releases, and new solutions.
  • Review and understand user documentation and/or release notes from vendors as well as change requests within USF to analyze impact on SEM systems and operations. Recommend changes in policies and procedures as applicable.
  • Ensure data standards are widely known and used by all users of SEM systems.
  • Support SEM analysis and forecasting efforts by development and creation of critical dashboards and reports.
  • Maintain knowledge of SEM systems, data structures, report extraction techniques, and software solutions.
  • Maintain professional knowledge by attending conferences, training, and participating in professional communities.
  • Ensure the integrity and confidentiality of the student academic records by complying with FERPA and USF academic policies.
  • Perform other related duties as assigned.


Minimum Requirements
  • Bachelor's degree required.
  • Understanding of and commitment to University of San Francisco's Vision, Mission, and Values.
  • 3-5 years of experience working in university enrollment management with at least one year of experience as the primary functional user on enrollment systems.
  • Working knowledge of Student Information Systems and other software suites utilized by Enrollment Management. Ability to administer and configure enrollment management systems as a functional user.
  • Data reporting skills and experience required.
  • SQL writing experience required.
  • Outstanding customer service orientation. Must show characteristics of sound judgement based on information available to support good decision making.
  • Very strong interpersonal and communication skills; highly articulate in both verbal and written forms, translating complex technical concepts into non-technical language.
  • Accountable and empowered - ability to take responsibility, self-start to ensure realization of SEM goals.
  • Strong desire and aptitude to continue learning and broadening professional skills within SEM.
  • Understanding of and the ability to apply Business Process Analysis techniques and methodologies. Ex: capable of producing requirement documents, cost benefit analysis, change requests, and test plans.
  • Proven problem solving skills with the ability to assess a specific business scenario and develop an appropriate process and/or technical approach to support the desired business outcomes.


Preferred Qualifications
  • Experience using Axiom Elite or other integration platforms related to enrollment management (i.e. Informatica, etc.).
  • Experience creating Tableau reports using custom SQL queries and building interactive dashboards for functional users.
  • Extensive experience as a functional user of Ellucian Banner, especially Banner Financial Aid and Banner Accounts Receivable.
  • Understanding of Oracle table structures and Oracle ODS.
  • Experience with Technolutions Slate preferred but not required.
  • Project management skills and experience.
  • Familiarity with University of San Francisco enrollment processes, policies, and culture.
