Work hours (for hourly positions): Monday - Friday; 7:30 AM - 3:30 PM Additional hours, including evening and weekend hours, may be needed to meet the needs of the department.

General Summary: Performs a variety of general secretarial duties for division faculty, including preparing correspondence, scheduling, typing and filing.

Job Specifications:

Must be able to accurately type, file and record information. Meet with the public tactfully and courteously and answer questions over the counter and by telephone. Failure to meet deadlines could result in delay.

Education and Experience: High school education or equivalent and experience in an office environment gained through previous job related or educational training.

Certifications/Licensures: N/A.

Skill Requirements: Must to operate various office equipment, including a personal computer and appropriate software packages or equivalent. Should possess good communication, interpersonal and clerical skills.

Physical Requirements: Must be able to work in a general office environment with the ability to sit for at least 2 hours without interruption.

Duties:

  1. Prepares exams, quizzes, syllabi, correspondence, memos, reports, and forms for department faculty.
  2. Screens phone calls; receives and directs visitors; receives, sorts and delivers mail.
  3. Coordinates the printing and duplication of materials; coordinates bulk mailings of fliers and brochures to be sent to area schools and community organizations.
  4. Maintains schedule for students and faculty.
  5. Maintains and orders supplies including textbooks.
  6. Prepares and follows through with trip requests and expense reports.
  7. Performs other related duties as required or assigned.

Secondary Duties (If applicable): May be required to take and transcribe oral dictation; record and maintain budgetary information; schedule rooms and facilities; maintain and process payroll forms and records; and assist with registration. May require proficiency in use of office software including Excel, Power Point, or Access.



Clearances: Current criminal record/child abuse clearances will be required if offered the position and in order to be employed at the College. The three clearances are Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal Records Check, and Federal Bureau of Investigations (FBI) Criminal Background Check.
