Job Summary
This position exists to provide direct support to school directors, faculty, staff and students in the day-to-day operations in Academic units. Often serving as the main point of contact, this position is a vital component in a coordinated effort focusing on student success.

Primary Duties and Responsibilities
1. Acts as academic support for the School including, but not limited to, corresponding with prospective students, preparing and sending necessary student forms, maintaining appropriate student files and working with faculty, staff, students and the university community.

2. Assists with preparation of course scheduling, room reservations and student scheduling needs.

3. Maintains and reconciles all school budgets in a timely manner. Assists university units and external agencies with budget requests. Prepares budgetary forms and payroll reports, obtains appropriate signatures and routes to appropriate entities. (i.e. Purchase Orders, Permission to Travel, Reimbursement Voucher, etc.)

4. Maintains and tracks school inventory. Conducts regular inventory audits. Assists in state mandated audits. Orders course and lab supplies, as requested.

5. Processes necessary forms for school maintenance, supply purchases, awards, etc. through the University and Foundation. Prepares appropriate hiring paperwork for faculty, staff, adjuncts, student employees, etc.

6. Provides administrative support for the School including, but not limited to, event planning, calendar/scheduling and correspondence.Please list the six primary duties of this position. Minimum Qualifications High school diploma or general education degree (GED) and one year of related experience.

Knowledge, Skills & Abilities
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence in Microsoft Office.
  • Ability to maintain cooperative relationships with colleagues.
  • Excellent interpersonal, organizational, oral and written communication skills.
  • Ability to exercise discretion, confidentiality and judgment in dealing with sensitive issues.
  • Proficiency with a computer and ability to perform data entry.
Preferred Qualifications

Bachelor’s Degree. Experience working in academia. Knowledge of PeopleSoft, University Foundation Go! System, Ad Astra, and FacultyEnlight.
