Primary Purpose of the Organizational Unit

University Advancement is responsible for the overall coordination of all private fundraising from alumni, corporations & foundations and friends of the university through the departments of Development, Annual Giving, Advancement Operations, Advancement Communications, Event Planning, Donor Relations and Alumni Engagement.

Position Summary

This position is responsible for daily administration and management of business and financial affairs in the Division of University Advancement and assisting the Assistant Vice Chancellor in the preparation, management, maintenance and oversight of all the financial business-related functions. This includes advising, consulting, and assisting all areas with policies, procedures, and enhancement of systems relating to financial matters within the unit. This position also provides support with planning, project management, facilities management and other areas as required in the overall administrative and financial operations of the unit. This position interacts with Human Resource Services, Purchasing, Financial Planning and Budgets, Accounts Payable, Financial/Business Services, Payroll, Fixed Assets, Foundation Finance and Physical Plant along with the general public and various external agencies to professionally conduct University business. Uses Microsoft Excel at an advanced level to create reports and analyze data. Attention to detail is critical and requires a high degree of accuracy and discretion. Work is often performed with considerable latitude and independent judgement under minimal supervision.

Minimum Qualifications

BACHELOR’S DEGREE IN BUSINESS ADMINISTRATION, PUBLIC ADMINISTRATION, OR RELATED BUSINESS AREA; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Department strongly prefers experience with Banner ERP System both the Finance module and Human Resources module.

The ideal candidate would be experienced at accounting policy and procedures of UNCG. Sequentially, experience in the UNC System, or other institution of Higher Education.

Essential Tasks

This position has direct management of operating budget of the University Advancement division:
•Set up, maintain, and monitor all organizations (departments) and funds (State, trust, non-gift receipts) – totaling in excess of $10 million annually);
•Manage, administer and monitor all division budgets which come from a variety of funding sources, programs and activities assuring all State and UNCG policies are followed throughout the division.
•Serve as the P-Card coordinator for current card and reviewer/approver for other cards held by those in University Advancement;
•Maintain reporting of expenditures and distributing easy to understand financial statements to University Advancement department managers on a periodic basis;
•Initiate and process budget transfers and budget flexes in Banner Finance;
•Process all expenditures including personal reimbursements, travel, catering services and other inter-departmental invoices, P-card purchases and outside vendor purchases; review fund expenditures for appropriateness prior to submitting the requests for payment;
•Prepare monthly reconciliation reports of all funds.
•Serve as divisional liaison between University Advancement and purchasing for contract review and vendor sole source matters.
•Create and maintain budget and finance procedural documentation for the division.

The utilization of Excel at a high level of comfort is a critical function in the ability to provide reports to both internal and external constituents in a timely and accurate manner.

Essential Tasks

•Review budget transfers of all departments; provide assistance when needed or requested.
•Notify departments of budget and cash overdrafts, and assist departmental personnel, Budget Office staff, and Controller’s staff with resolution of these issues, many of which can be complicated in terms of process and policy.
•Review and determine appropriate disposition of all budget flexibility requests in the Division; make corrections, and approve/act upon flexibility requests on behalf of the Vice Chancellor and Assistant Vice Chancellor.
•Serve as divisional resource person on Banner Finance system.
•Counsel, train, and instruct appropriate divisional employees on finance, budget, purchasing and payment procedures.

•Work with department directors and the Assistant Vice Chancellor to establish annual operating and salary budgets for the division, balancing to control totals provided by Office of Financial Planning and Budgets.

•Develop budget reports and budget to actual reports for departments within the division.
